The Middle Office - Business Coordinator is primarily responsible for the conversion of new business and closing of Trust accounts which include supervising the process to completion for the Trust client. The Business Coordinator works very closely with plan administration, internal processing groups, external custodians and brokers to ensure that proper assets are moved in a timely manner and the account reflects the needed results.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Coordinates movement of assets, ensuring proper authorization for delivery of assets. Follows up directly with prior custodian for items regarding untimely or incorrect delivery. Verifies assets have been properly transferred. Verifies receipts to most recent statements from prior custodian(s) to ensure all assets are taken into custody and follows up with administration to determine appropriate cost basis, market value, tax acquisition dates, etc.
2. Responsible for the closing of Trust accounts which involve accurate delivery of all assets, coordination of clearing appropriate items from the account and timely delivery of cash. Follows up directly with administration for items regarding proper client instructions. Verifies receipt to the most recent statements to ensure all assets are processed and follows up account procedures relating to final fees, cash sweep and proper coding of the account to close.
3. Supports Trust software and systems relating to incoming administration and client questions. Work with outside clients one on one for support and troubleshooting of online products from account setup to browser problems. Work directly with plan administration for support of daily processing questions on Trust accounts. Works issues through to resolution and provides the proper customer service needs.
4. Serves as a backup role for other needs within the business group. Trains and works the employee to ensure all work is completed timely and accurately. Works pro-actively among the group to identify solutions or resources to complete any exception processing.
KNOWLEDGE, SKILLS and ABILITIES:
• Industry/Working knowledge of various security types: repos, equities, fixed income, mortgage backed, etc.
• Excellent verbal and written communication skills, ability to communicate information clearly and concisely, negotiate appropriate solutions with both internal and external contacts. Drafts professional business correspondence on regular basis
• Excellent organizational skills, ability to plan and coordinate movement of large volumes of transactions, ability to improve efficiency, track complex activities and improve methodology. Must demonstrate previous experience in independently solving complex problems, identifying appropriate resources
• Working knowledge of mainframe processes, good PC skills. Proficient with word processing and worksheet applications in producing business correspondence and reports
This level of knowledge is normally acquired through completion of an Associate’s Degree in a business related field and 3-4 year’s experience in the security industry; OR 6 -7 years of equivalent work experience.
