Description
Job Purpose
Provides administrative support for JNAM Operations management and the office including filing, invoice processing, travel arrangements, expense reports, meeting planning and ordering office supplies. Prepares reports, presentations and other materials.
Essential Job Duties & Responsibilities
• Schedules and maintains calendar of appointments, meetings, travel itineraries and coordinates related arrangements.
• Support JNAM Operations department and Human Resources with new hire onboarding.
• Design presentations with original graphic content for slides for a variety of audiences.
• Assists with administrative support including creation and maintenance of reports, charts, spreadsheets, documents and presentations.
• Create and maintain department metrics and performance indicators using Microsoft Excel.
• Establishes, maintains and updates files and records.
• Sends company-wide announcements/informational emails.
• Processes financial documents including department invoices and executive expense reports.
• Screens, organizes and prioritizes phone calls, visitors and incoming mail.
• Coordinates office moves, new hire workspace, and minor office reconstruction.
• Administers special projects as required.
• May order supplies for the office.

Qualifications
Knowledge, Skills & Abilities
• Solid written and verbal communication skills including the ability to edit and compose correspondence.
• Strong presentation design skills and good understanding of presentation technology.
• Solid interpersonal skills and ability to communicate effectively with senior management and peers.
• Solid PC skills including MS Office software and other relevant software applications.
• Basic knowledge of financial services industry terminology.
• Ability to prioritize, coordinate multiple activities and follow up on projects with minimum supervision.
• Ability to handle sensitive confidential information.
• Must be detail oriented and focused on accuracy.
Education and Experience Required
• High school diploma or equivalent (G.E.D.). Associates degree preferred.
• 3 - 5 years’ experience.
