Duties and Responsibilities
This position will operate a multi-line telephone console to relay a moderate volume of incoming calls. Greet and receive visitors in a secure office environment and record time of arrival and departure. Provide appropriate information and direction to visitors. Provide administrative support including but not limited to key functions.
Key Functions:
• Assign and track building security badges and UTA ride passes for all associates
• Serve as the point person for mailings sent to investors through the Corporate Office mailroom
• Accept deliveries, handle all mail functions
• Process Accounts Payable invoices and submit them for payment
• Supervise all shredding procedures, order office supplies and maintain supply rooms
• Purchase all supplies for breakrooms, stock and maintain 2 break rooms
• Assist Office Manager with onboarding of new associates
• Maintain associate phone list and contact information
• Create PowePoint slides for monthly meetings
• Serve as a backup for building maintenance issues
• Perform various administrative responsibilities including typing, filing, copy/scanning, data entry, meeting material preparation, room set-up and other duties as assigned
Minimum Requirements
• High school education
• Previous receptionist experience equivalent to 1 year or more
Minimum Knowledge and Skills
• Strong interpersonal skills to deal effectively, professionally and courteously with a diverse group of internal and external callers and visitors
• Strong aptitude for problem solving and research
• Ability to multi-task while maintaining an organized work flow
• Attention to detail, writing ability and communication skills
• A positive nature is paramount to this position
• Working knowledge of Microsoft Office Suite ¿ Outlook, Word, PowerPoint, and Excel
Work Schedule
Monday-Friday: 8:00am-5:00pm
