Administrative Assistant

Responsibilities
• Provide direct administrative support to the Division, performing various administrative functions, which may include word processing, filing, copying, scanning, inventory, ordering materials and other supplies and correspondence as needed.
• Coordinates and organizes department meetings and conferences including meeting venue bookings, catering requirements, sets up the room with audio-visual equipment and flip charts and tends to other requirements of department meetings.
• Assists various departments in developing presentations, proposals and other documents as needed.
• Assists the Division with new business support such as, creating draft proposals and presentations.
• Prepares/scans incoming mail, handles delivery of electronic faxes and prepares outgoing mail/packages.
• Responds to the supply needs of the Division and maintains adequate inventory.
• Interacts with high level clientele and members of the organization in a positive professional manner.
Qualifications
• Demonstrated proficiency with Microsoft Office Suite, with advanced proficiency in Excel and PowerPoint.
• Experience with insurance agency management systems is strongly desired.
• Strong oral and written communication and relationship building skills essential.
• Exceptional time management and organization skills.
• Must be a self-starter and demonstrate resourcefulness
• Ability to work independently and in a team environment essential.
Requirements
• High school diploma required. Associates degree or equivalent administrative experience preferred.
• Minimum of three to five (3-5) years previous administrative support experience; commercial insurance industry experience strongly preferred.
