As the Client Reception Concierge, you are responsible for being the voice and face of the Firm when meeting and greeting all clients and visitors to the NY office and Partner’s area, while providing superior client service and adhering office security policy and procedure. You will work closely with various groups within Enterprise Services to support your other team members and ensure that all visitors to BBH are left with a lasting impression of exceptional client service. To be successful in this role, you will need a client service oriented attitude and the ability to juggle multiple competing priorities
The Reception Concierge must adhere to business professional dress code. Standard working hours are 8am-4pm but over time may be required. Occasional coverage in the Jersey City office may be required as well. Flexibility is a must in this position.
Some of your key responsibilities include:
• Oversight and management of the Partner’s space, Executive Dining Rooms/ Space (EDR) and Conference Center. This includes liaising with the current catering vendor to ensure service levels within the client reception area are being adhered to, coordinating the scheduling of all activities taking place in these spaces, and ensuring the setup/cleanup of the conference space
• Answer telephone calls, take messages, respond to questions and direct callers to appropriate parties as necessary
• Monitor and track requests coming through the Facilities call center and escalate urgent requests to appropriate parties as necessary
• Contribute to Division or Firm process improvement activities and perform various other related duties as requested/required to facilitate the productivity of the department.
• Provide support to the other ES Specialist(s) on the team including but not limited to: invoice processing, flower ordering, expense report processing, video scheduling e-mail rotation, facilities call center help (answering calls & open tickets) check processing, Event Planning support, archive management, client service and ES policies and procedures.
Qualifications:
• Associates degree and 2 years of working in a professional environment, preferably in the hospitality industry
• Excellent client service skills and detail orientation
• Ability to communicate professionally and politely
• Team oriented and positive attitude
