JOB TITLE: Vice President, Head of Administrative Engagement

POSITION OVERVIEW:
Blackstone is seeking an experienced professional to provide career structure, training and development opportunities to the firm’s Assistants. In addition this person may also be tasked with managing the firm's consulting/contingent workers and Receptionist workforce and be an advocate for their growth and success. An important focus of this role will be to foster a team-oriented, collaborative culture and enhance overall engagement among the Assistants and Receptionists. This professional will focus on ensuring that Blackstone has an effective, well-trained support staff to meet the needs of the respective businesses. The ability to develop an overall program and process for Assistants, Receptionists and contingent workers will be a crucial part of the role. Responsibilities also include ensuring clear, accountable processes with regard to managing third party contingent workers. Additionally, managing relationships with external consultant vendors as well as managing systems will be an important part of this role.
PRIMARY RESPONSIBILITIES:
• Responsible for professional development accountability including: training and review of general day-to-day operations of the firm’s administrative support services by partnering with the respective group’s CAOs to learn how to improve the function
• Develop talent training programs and mentoring initiatives
• Coordinate with all departments to assist with the development and implementation of firm-wide policies and procedures relating to firm administrative support operations
• Work with businesses to assess and ensure proper staffing levels and coverage models by business group, create a support structure to handle coverage needs, and drive firm-wide initiatives
• Partner with Human Resources to screen, interview and hire Administrative candidates, when appropriate
• Manage the temporary Assistant needs for all offices in the US, coordinate day to day coverage, work with the businesses to implement buddy systems
• Manage staff of permanent floating Assistants, provide assignments and continual feedback, administer performance and compensation discussions
• Partner with corporate services management to develop and execute strategic business plan and department initiatives in line with firm’s overall objectives and growth
• Work closely with businesses and Human Resources to create a training and development program to meet business and Assistants’ needs (Microsoft Office training, communication skills, etc.) and to implement a promotion methodology to help retain top performers
• Facilitate recurring meetings, develop mentorship opportunities and team-building activities
• Maintain excellent relationships with consultant vendors to ensure the highest level of service for the firm
• Work closely with senior management to manage department budgets and costs, including monthly reviews, savings tracking, and forecasting
• Cultivate a network of peers in order to stay current on industry standards and benchmark firm processes
• Assist the Global Head of Corporate Services and other senior members of the department and firm on an ongoing basis with ad hoc projects
• Manage Reception function, work with Reception Supervisor and Dining Services to ensure appropriate coverage, support, administer performance and compensation discussions
• Partner with HR to effectively support day-to day management of consultant processes globally, including tracking, monitoring, and onboarding off boarding third party consultants in the Consultant Management System (CMS)
QUALIFICATIONS AND EXPERIENCE: (Academic, Professional, Relevant Job Knowledge)
• College degree and 15+ years of experience managing Assistants, general office management and systems experience in the professional or financial services industry
• Strong interpersonal, networking, and leadership skills
• Proven experience as a manager who helps advocate and create solutions for the team
• Experienced manager capable of creating, understanding, communicating and implementing processes according to the firm’s needs
• Excellent organizational and analytical skills, exceptional written and verbal skills, and the ability to gain the trust and confidence of internal constituents
• Ability to take on additional responsibilities as the role and firm evolve, able to delegate effectively, and adapt to a dynamic environment
• Highly motivated, team player and strong leader with the ability to manage teams, drive change, make difficult decisions, work well under pressure, and identify and resolve issues
• Ability to work across multiple groups and drive consensus
