JOB SUMMARY
This role supports the Commercial Real Estate Director and provides administrative support to other Officers and staff members in a broad capacity from relieving them of administrative details to assisting the manager in coordinating meetings, events and projects. This role will also support commercial lending officers while acting as a liaison between the clients and the Bank to ensure all commercial clients are serviced professionally to meet and exceed client expectations.
REQUIRED KNOWLEDGE AND SKILLS
• High school diploma or equivalent required
• Bachelor's degree preferred
• 5 - 7 Years experience in function
• 1 - 3 Years experience in industry
• Confidentiality, confidence, excellent interpersonal skills and strategic thinking skills are required for this position.
• Working knowledge of Multi-Function Devices, and PC equipment. Above average knowledge of Microsoft Word, Excel, Power Point, and Outlook applications.
• Effective organizational and time management skills to handle competing priorities and projects effectively under minimal direction for staff of 30.
• Effectively lead and manage the work of others to meet deadlines.
• Solve practical problems and deal with a range of variables in situations where only limited standardization exists.
• Must have proficient verbal and written communication skills.
• Notary or ability to obtain may be required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support
• Relieves Manager of administrative details on projects and duties as assigned including generating and preparing month end reports and monthly Risk Management Status Report.
• Takes initiative in manager’s absence to handle inquiries and resolve situations within the Executive Assistant’s authority. May direct and lead others.
• Answers/fields phone calls and visitors; maintains calendar for appointments, meetings and travel schedule; and materials for external State & Federal Reporting agencies.
• Prepare various quarterly committee materials.
• Create and maintain credit files for audit. Ensure all documents are filed in a timely manner.
• Prepares weekly and/or monthly reports regarding past due loans, loan exceptions and financial tracking.
• Assists CLO with the review, organization, and packaging of documentation prior to loan closing and assists lender with closings as needed.
• Requests/orders a variety of documentation in support of the lending request such as, title insurance and appraisal/evaluations. Orders loan documents from PLUS and prints/reviews before sending to the Commercial Lending Officer (CLO).
• Prepares loan proceed disbursements, pay downs on lines of credit, wire transfers and account transfers on behalf of the commercial customers.
• Monitors daily overdrafts with the CLO approval.
• Prepare and mail letters to customers requesting updated financial information.
• Work effectively with a diverse group of bank personnel at several levels of the organization in the coordination of commercial application requirements leading up to document delivery.
• Assist customers with questions concerning existing accounts.
• Complete credit references.
Team Management
• Supervises, coordinates, coaches, mentors, and counsels staff activities to ensure achievement of assigned goals and objectives. Responsible for staff retention, performance, and developmental coaching.
