Responsibilities
The Administrative Assistant provides support to the Bond Transaction Group (“BTG”) and maintains Firm-wide documents, the bond issue database, the intranet bond sale calendar, and other BTG documents.
Essential Duties and Responsibilities:
• Completion of various documents, correspondence and research that include request for proposal letters, term sheets, invoice letters, various transmittal letters related to bond sales, bid forms, mailing lists, bond sale results, distributions lists (some cold calling for client information), and fax documents
• Download or request audit reports and unaudited financial statements
• Organize documents in preparation for bond sales
• Proofread and scan documents, expedite the distribution of closing letters (labels, copies, etc.)
• Assist with bond sales (saving documents to network, scanning, printing etc.)
• Print necessary documents for rating calls for Municipal Advisors and Partners
• Assist with document distribution to working group members, bond insurers, rating agencies, and underwriters
• Assist with proofreading and implementing working group comments and revisions to documents
• Assist with paginating appendices, preparing accounting reports, and making final adjustments to Official Statement documents before printing
• Creating PDFs of Official Statement documents to send to working group (draft & final)
• Creating and preparing various emails to Municipal Advisors, underwriters and other third parties
• Gathering required documents from bond counsel, clients and internal sources for printing Official Statements and coordinating with Municipal Advisors and printing company
• Assist with scanning and closing BTG files
• Schedule and set up technology for BTG meetings and conference calls, and rating conference calls with clients
• Assisting Municipal Advisors with any questions or problems that arise
• Serve as back-up support for administrative team
• Other responsibilities as assigned
Qualifications
• Bachelor’s Degree in Business, Business Administration or related field
• High degree of attention to detail and organizational ability
• Ability to work well in a fast-paced environment with pressure and deadlines
