The Corporate Planning and Analysis (CP&A) organization drives strategic decisions that enable the company to establish expectations and deliver value to shareholders. CP&A leads the company-wide management results, forecasting and planning process, supports critical ad hoc and strategic analysis of AXP’s businesses.
The Executive/Admin Assistant is a critical member of the CP&A executive team, managing the day to day operations through directly supporting 3 Vice Presidents by providing administrative support. The EA is an integral member of this team, who not only provides organizational support and ensures that the team’s logistical needs are met, but also helps to promote a positive atmosphere. Critical to the success of this position is the development of positive working relationships. The ideal candidate must be experienced in handling a wide range of administrative related tasks and be able to work independently as required. The candidate must also be flexible, proactive and work well in a dynamic and fast-paced organization managing multiple tasks and conflicting priorities with accuracy and attention to detail.
Consistently deliver against the following accountabilities with a high level of quality, including being timely, accurate and complete:
• Calendar management, including coordination of complex internal meetings, across multiple time zones, and management of calendar conflicts;
• Coordination and oversight of internal meetings, making all necessary arrangements including sending invitations, reserving space, audio, Telepresence and visual setup, catering and production of meeting materials when applicable
• Organizing regular team meetings, 1:1s with Direct Reports and other team members, Town Halls, roundtable meetings
• Support the on-boarding and off-boarding of team members and contractors by leveraging appropriate processes/partners/tools to submit requests into Ariba, organize first/final days and arrange for PCs, order telephone number via Technologies, Corporate Cards, office supplies, and all HR administration
• Procuring laptops, office supplies, office space, etc. and managing the procurement process including researching and approving invoices, and researching standard accounting errors
• Procuring contractors/consultants and temporary staff by completing SOWs Ad hoc project work, as directed by leadership
• Booking and coordinating travel arrangements
• Prepare, review, and process expense reports, and ensure T&E in line with company policy and budget
• Monitoring Opex budget; order supplies; manage invoice and payment needs
• Group administration (updating distribution lists/employee roster, org charts, etc.)
• Able to troubleshoot administrative issues
• Support Ad hoc projects as needed
Qualifications
• Excellent time management and organizational skills with a strong focus on accuracy and attention to detail;
• Ability to manage multiple priorities, work within deadlines in a fast-paced, dynamic, (and fun!) environment and execute across multiple initiatives/tasks;
• Ability to develop plans to accomplish work operations and objectives;
• Ability to work with a sense of urgency
• Excellent calendar management skills
• Skilled at planning and arranging complex travel
• Strong sense of integrity with ability to handle confidential and sensitive information with discretion
• Proven team player
• Strong written and verbal communication skills
• Positive attitude, solution oriented demeanor, and reliable
• Proficiency in Microsoft outlook and Microsoft Office, including Word, Excel and PowerPoint
• Strong working knowledge of common administrative systems and processes e.g., HR, purchasing, Concur
Other Qualifications
• Minimum 3 – 5 years of executive administrative support experience within a large organization
• Punctual and dependable
Employment eligibility to work with American Express in the U.S. is required as the company will not pursue visa sponsorship for these positions.
