OVERVIEW:
The Talent Relations Coordinator plays a key role on the New York & Company Marketing team, helping to drive and support all activities related to Celebrity partnerships. This person will work closely with agencies and partners to ensure talent is informed and engaged. Additionally, this person is responsible for driving all aspects of vendor relationships. We are looking for someone who has experience working with talent, rapidly consumes entertainment, and is passionate and curious about both the retail and entertainment landscape.
RESPONSIBILITIES:
• Provide administrative support for the Head of Talent Relations; includes but not limited to answering phones, scheduling meetings, booking travel, creating itineraries, and arranging messenger and shipping services
• Maintain all event calendars
• Coordinate all talent appearances; manage all travel accommodations including flights, cars and hotel. Ensure all travel and accommodations are in compliance with budget and company travel policy
• Coordinate booking of hair, makeup and stylists
• Provide support with gifting and special requests for talent (e.g., researching, ordering & packaging)
• Maintain all contacts in Outlook and constantly update agency and vendor information
• Track vendor invoices and reconcile expenses
QUALIFICATIONS:
• 2-3 years of related work experience in public/ talent relations with an agency, studio, or production company
• High energy, self-motivated, proactive; curious and constant learner
• Track record of working directly with talent and talent representatives
• Independent thinker with strong decision making skills, especially when faced with ambiguity
• Ability to work in a fast paced environment while balancing multiple projects simultaneously & maintaining exceptional attention to detail
• Strong communication skills – written, verbal & presentation
• Ability to maintain strict confidentiality and handle sensitive information
• Ability to work well under pressure and within deadlines
• Capable of working both within a team environment and independently
• Computer proficiency in Microsoft Office (Word, Excel, PowerPoint)
• Ability to travel and work evenings and on weekends as required by ongoing projects and events
• Support ad hoc projects and assignments as needed
EDUCATION:
• Bachelor's degree or equivalent work experience
