Coordinator, Global Integrated Communications & Content, Talent/Fashion Relations, MAC
PRIMARY OBJECTIVE:
Work with the Director and supporting talent/fashion team on coordinating talent activity for the brand; including special product collaborations, brand partnerships, talent personal appearances and special events. Coordinate and manage M∙A∙C’s consumer marketing events and social for talent related collaborations and event sponsorships/galas, specifically in the areas of charity, pop-culture and entertainment.
RESPONSIBILITIES:
Fulfil talent product and makeup requests and assist with PRO membership updates for talent agents/existing partners
Manage archive closet and comps for each celebrity/designer collaboration
Assist with the talent portion of creative mailings and liaise with Global PR team on allocating these for celebrities/talent/influencers/designers
Maintain talent, influencer, celebrity database and binders of contracts
Have a strong understanding celebrity, music, pop culture and fashion industries and regularly update VP and Director of department of relevant news and events
Provide talent recommendations monthly based on pop culture/trend and business objectives for collaboration and paid opportunities.
Help to coordinate details for collaborations, including talent meetings with PD, Creative, product selection, shoot details, NDAs and contracts with legal etc.
Support the regions in identifying talent in their local market for future opportunities, such as collaborations, regional events, local galas, MAF ambassadors, mailings (etc) and create and manage database for regionally-relevant talent in the international markets.
Support and coordinate talent personal appearances including arranging talent schedules (ROS), glam, transportation/accommodation, onsite requests etc.
Manage talent/PR/online initiatives status grid and weekly status PR/Consumer Marketing counterpart’s announcement dates and relative collaboration information.
Work in tandem with Global/Regional PR teams on creation and execution of 360 launch strategies relating to talent collaborations (e.g.: suggested copy for announcements).
Work with team to create and assist with activation recaps (internal/external) for key talent launches to determine metrics/data (impressions, sales data) to measure GC value and ROI.
Work closely with community management/consumer marketing on ROI stats following social media takeovers and product marketing on samples for talent and timelines for approvals.
Liaise with appropriate departments (creative/event execution/retail events/creative services) for all collateral on talent activations and sponsorships.
Responsible for maintaining/updating the budget tracker on talent events and collaborations and closing out event budgets within 1 month of event. Work with department assistant on all other invoicing/procurement.
On-site work managing talent and senior executives at events and fashion week backstage and front of house
Maintain list of celebrity M∙A∙C fans, favorite products and mailing addresses
Manage and oversee logistics documents and contact lists ensuring they are consistently kept up to date for outreach and product mailings.
Expand knowledge on the fashion landscape and familiarize with fashion week
Expand knowledge on festival season(s) across the world
Vet all sponsorship requests and provide updates to Director
Handle planning/logistics/product orders for talent/charity-related events and event sponsorships
Manage event documents including drafting and maintaining creative requests, run-of-shows, recaps and task lists
Research and maintain venue, hot list and places to note lists
Responsible for creating and managing event invitations/RSVP lists for all talent-related GC events with team
Manage and own talent portion of creative mailings and determining which industry individuals should receive these items.
Work with Asst Manager on suggestions for paid talent support that are non-product collaboration related.
Overall department budget tracking for T & E
POSITION REQUIREMENTS
College degree required
1.5 - 3 years of communications, talent management, event/agency experience
Extremely organized and in touch with pop culture, celebrities, fashion and music
Proficiency and awareness of all social platforms such as Facebook, Instagram, Snapchat.
Computer skills: Word, Excel, PowerPoint, Outlook, WhoRepresents, IMBDPRO, Cision, Hypr, PopChips
