OVERVIEW
Gap Inc. is seeking an experienced Administrative Assistant to manage and support the daily workflow of the Vice President, Talent Strategy & Operations and the Vice President, Talent Management. You’ll be an integral part of our team and ensuring it works as effectively and efficiently as possible. This role is responsible for the overall individual and team operations of both Vice Presidents. This includes calendar management, email support, travel arrangements, expense report management, meeting operations and coordination, operations project support and team management.
RESPONSIBILITIES:
• Be a trusted partner and team member; maintaining confidentiality and professionalism in all situations.
• Partners and collaborates with peers and direct reports of the VP to manage daily workload and operations and project support from conception to completion.
• Plan, prioritize and proactively organize diversified workload across two leaders and their teams.
• Handle confidential and non-routine information and explains policies when necessary.
• Effective calendar management; coordinate internal and external meetings including but not limited to team meetings, full staff meetings, off- site meetings, one-on-one meetings, etc.
• Event management - organization of quarterly team meetings, volunteering events, calendar publishing, team activities, off-sites, etc.
• Play an active role supporting the teams. Including, but not limited to, problem solving, onboarding and offboarding of new team members/contractors, invoice processing and office supply ordering and maintenance.
• Book and coordinate travel (inclusive of visa applications when needed).
• Organize, prioritize and coordinate multiple work activities with the ability to meet deadlines.
• Approach role with a continuous improvement mindset, always looking for efficiencies and better ways to do things.
• •Expense management and other administrative duties
• Effectively collaborate with employees within Gap Inc., senior executives inside and outside the company, vendors and outside consultants.
QUALIFICATIONS:
• 3 to 5 years previous administrative assistant experience in a fast paced corporate environment.
• Excellent organizational and prioritization skills.
• Proactive approach to work; taking initiative to find answers and strong follow up skills.
• Strong teamwork skills and ability to offer and implement suggestions and improvements to process
• Strong and creative problem solving skills.
• Ability to be flexible in response to changing priorities and needs.
• Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners across departments.
• Excellent attention to detail and verbal/written communication skills.
• Excellent computer skills with proficiency in Outlook, Excel, Word and PowerPoint
• Experience with Microsoft 365 and Zoom preferred (or other file storage and online meeting platform)
• Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners across departments.
• Excellent attention to detail and verbal/written communication skills.
• College degree or equivalent experience.
