Administrative Assistant to the Managing Director, US
JOB DESCRIPTION
We are searching for an experienced, reliable and task-oriented Administrative Assistant. The Administrative Assistant will work directly with the SVP & Managing Director, U.S. and will be responsible for performing all administrative duties in support of the Managing Director and Senior Leaders on the team as needed. This is a fast-paced, fun, entrepreneurial role and the ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. Main duties include scheduling meetings, making travel arrangements, calendar management, communicating with the organization on behalf of the Managing Director and keeping the Managing Director organized and prepared. To be successful in this role, you should be a motivated problem-solver who is proactive, great at meeting deadlines and someone who communicates effectively.
Our ideal candidate also has previous experience as an Administrative Assistant and is familiar with office management technologies.
• Act as the right-hand person for Managing Director
• Help Managing Director manage and prioritize time, activities and team
• Communicate on behalf of the Managing Director
• Problem solve and mitigate conflict in calendar, meetings and travel
• Arrange travel, create itineraries and agendas, book accommodations and transportation to and from meetings, as appropriate. Evaluate any potential issues and develop a contingency plan as needed
• Update Global Leadership team, peers and direct reports on travel calendar monthly
• Prepare expense reports promptly and accurately
• Schedule and coordinate meetings including arrangements for facilities, logistics, and other accommodations; communicate arrangements to executive and other participants, as appropriate
• Completes project and special assignments; make independent decisions, as appropriate, when handling details and projects that are highly confidential and time sensitive
• Initiate process improvements related to administrative responsibilities
• Prepare documentation, presentation materials, reports, charts, and spreadsheets
• Transfer, compile, and touch-up PowerPoint presentations
• Represents our Company both internally and externally as key point of communication
• Manage team activities, reservations and events
• Act as liaison to other corporate groups and leadership team
• Support development of budgets; track & report back to leaders monthly on status versus plan
• Process & follow up on payment requests
• Manage timecards and internal HR systems
• May travel infrequently, as required
Basic Qualifications
• Bachelor's degree (7+ years of combined college education and work experience may be substituted for a degree)
• Minimum 5+ years’ experience providing executive-level administrative support with minimal guidance
• Expert knowledge and proficiency with MS Office
applications including Word, Excel, PowerPoint, and Outlook

• Demonstrated ability to manage multiple priorities and shifting demands while being detail oriented

• Strong professional problem solver, demonstrating initiative and the responsiveness required in dealing with senior level corporate matters
