Overview:
• This position is responsible for the sample purchase process including buying, production tracking and completion of sales samples to meet critical calendar deadlines. Communicates sample order status, activity flow, and applicable metrics with vendors and internal departments to support on-time sample completion. Facilitates and prioritizes tasks per key time & action milestone dates and business objectives.
Key Accountabilities:
• Responsible for the buying, production status and completion of import sales samples by recording and maintaining sample tracking data in assigned documents, systems, and databases in accordance to calendar deadlines.
• Maintains, distributes and updates sample matrix to ensure sample quantity needs are met.
• Compiles all data from various sources inclusive of the matrix, line plans, source plan, and pricing data to create sample buy file to meet all sample requirements.
• Communicates with hubs / vendors and internal departments inclusive of key dates / priorities to meet calendar deadlines, follows up to ensure deadlines are met and alerts necessary parties of potential delays / issues / revisions and offers options to minimize impact.
• Buy file and database maintenance / data validation and performs audits regularly to ensure data integrity.
• Compiles and distributes reports/data analysis for departmental meetings including weekly sample metrics, sample comments and seasonal recaps to sales force.
• Supports department in building presentations for leadership meetings.
• Creates seasonal sales orders and works with necessary departments to troubleshoot sample distribution.
• Reconciles, codes and approves invoices to ensure timely payment.
• Develops and maintains SOP documentation.
Required Skills/Abilities/Education:
• College degree preferred or equivalent work experience in analytical or data management field
• Advanced PC skills (MS Office)
• Excel spreadsheet functions; pivot tables, v-look ups
• Comfort & ability to work with complex data tables
• Powerpoint presentations
• Must be a strategic thinker and able to see the big picture
• Strong analytical & critical thinking skills
• Ability to juggle multiple deadlines and tasks in a fast paced environment. Strong sense of urgency and intuitive sense of priorities & accuracy, with a creative approach to problem solving
• Ability to resolve problems, either independently or by coordinating with management
• Strong interpersonal skills, including ability to partner cross functionally and effectively with PD, Design, Merchandising, Sourcing and overseas offices
• Must be able to learn and adapt to new software systems as it relates to the job function
• Supports process, system enhancements and offers ideas / solutions to create efficiencies
• Prioritizes and schedules workload to meet deadlines
• Excellent organizational, communication, follow-up and presentation skills with attention to detail
• Must be able to lift up to 30 pounds
