Coordinator, Client Relations, Bumble & Bumble
General Summary:
Coordinate day to day operations of Bb. U classes, executing classes to standard. Host students and ensure all students have an exceptional Bumble experience. Work with Bb.U educators, facilitators, and operational teams to maintain and elevate Bb.U standards. Provide outstanding customer service to both external clients as well as internal staff. Organize all logistics surround Bb.U classes prior to the class date and be on-site during the events to ensure a flawless execution. Coordinate and support Bb.U Model Project as needed.
Duties and Responsibilities:
1.Host and coordinate Design School and Business school classes for Bumble and bumble. University (NE class coordination could vary - as needed basis). Have in-depth knowledge of NE, Business School and Design School class operations from class start to finish, including necessary prep and post-class work. Ensure classes run on time, transitions are smooth, classrooms and facilities are in order, customer service standards are maintained and the student experience is optimal.
2.Uphold five-star standards of conduct.
3.Take an active role in making students feel welcome while they are in the House of Bumble; manage large groups independently. Provide elite customer service.
4.Evaluate feedback from classes and share results.
5.Provide an analytical mind to further streamline operations and discuss feedback with Director of Ops.
6.Maintain inventory and keep updated following each class. Alert Director of ordering needs.
7.Work with necessary teams to enhance Bb.U seamless Operations
8.Coordinate and assemble all materials and supplies for Bb.U classes.
9.Work closely with Model, A/V, Bb.U Booking, Education departments, Catering, Events and Maintenance departments, as well as the Administrative Assistant to the Department to make sure standards are maintained. Communicate as needed to ensure all areas have information needed to efficiently and effectively meet the needs of Bb.U classes. Provide all support teams schedules in a timeline manner for Bb.U.
10.Respond to inquiries from students and Sales department. Bring elevated concerns from students to Director.
11.Preserve order, clarity and punctuality during class
12.Create and distribute all class schedules for Bb.U classes within standard timeframe, as well as schedule facilitators, and executive guests and speakers
13.Create and send weekly Educator payroll.
14.Update and distribute weekly Educator attendance and performance records. Provide educator feedback to supervisor.
15.Work with the model department and book 2 – 4 classes per month for Bb.U Model Project. Assist with model check in as needed.
16.Provide concierge service as needed.
17.Tour students through the House of Bumble as needed.
18.Review and track feedback immediately following classes. Follow up and report on any negative student experiences. Provide a positive resolution for students.
19.Work on special projects as assigned
Supervisory responsibilities
Decision Making –Responsible for most decision making regarding class operations and conflict resolution.
Problem Solving – Problem solving operational challenges. Resolving student conflict and negative student feedback. Assist in managing any staff/educator issues as they arise.
Qualifications:
Undergraduate degree, experience and strength in the following areas are required: exceptional organizational skills, excellent interpersonal skills, ability to deal with multiple personalities, strong under pressure, able to multi-task.
