• The Guest Services & HR Coordinator is an entry level HR position that serves as the first point of contact for all Carters Corporate office customers, consultants, candidates, investors and guests. Additionally, the coordinator supports an HR Manager with a client group for all HR Coordinator related activities as described below.
• (25%) Guest Services Coordination
• Maintain proper front desk operations, including: answering and transferring incoming calls to the appropriate individual or corporate office location, greeting guests and announcing their arrival to employees, maintaining a clean and well-organized reception area, creating and distributing office wide announcements, validating parking, and managing office badge system.
• (25%) Recruitment & Candidate Experience
• Schedule all internal and external candidates
• Serve as point of contact for candidates and ensure exceptional experience
• Manage and follow through on candidate expense reimbursement
• Follow up on Interview Evaluation Form for each candidate and open role
• Maintain job jacket completion and consistency
• (25%) Administrative Support and HR Reporting
• Coordination of offer letter and packet
• New Hire preparation (SAF, desk setup, equipment, systems and payroll setup)
• Background check submission and follow up
• Respond to inquiries regarding policies, procedures, and programs
• Develop partnerships with employees, HR partners (i.e. shared services) and assist in resolution of employee issues
• Coordinate exit process and paperwork (separation paperwork, PA, system access notification)
• Organizational chart coordination and maintenance
• Execute personnel-related changes and submit necessary paperwork
• Meeting coordination and scheduling as needed
• Ensure corporate standards, as well as Human Resources standards, practices, and compliance requirements are consistently upheld
• (15%) Contingent worker lifecycle management and reporting
• Assigns unique identifier to all contingent workers in Phipps office
• Assists with monthly audit of current and expired contingent workers
• Onboarding and ongoing monitoring of contingent workforce for IT & Finance
• (10%) College Relations Support
• Support college team with reporting and analytics to assess program
• Coordinate logistics for on-site interviews for seasonal recruitment event and ad hoc interviews as needed
• Assist college team with ad hoc project requests (registrations, materials, presentations, etc.)
Experience and Skills
• Bachelors degree preferred
• Experience working in a corporate office setting preferred
• High level of professionalism
• Maintain utmost confidentiality and discretion with sensitive information
• Excellent verbal and written skills
• Proven ability to multi-task and prioritize competing demands
• Proven exceptional customer service, organizational skills and high attention to detail
• Must have successful experience in building strong professional partnerships, problem solving and utilizing various resources
