THE ROLE:
The Inventory Coordinator supports the Inventory Planning Department by managing, tracking and maintaining vendor purchase orders and customer dropship orders with a goal to create a superior customer experience of product availability at time of order.
RESPONSIBILITIES:
PURCHASE ORDER (PO) STOCKED INVENTORY DUTIES:
Support Customer Experience with the Inventory Planners by monitoring and resolving issues related to product availability (fill rate goals)
• Purchase Order Management: includes contacting vendors to confirm ship dates, order quantities, and pricing; order adjustments
• Purchase Order Maintenance: Adjust PO dates to reflect with accurate ETA’s, reviewing Backorder Report daily; conduct weekly audit of transit times and adjust orders as needed
• Purchase Order Tracking: Monitor movement with freight forwarder to ensure on time delivery and timely resolution of all shipping discrepancies
DROP SHIP ORDER DUTIES:
Support Customer Experience by monitoring, reporting on and resolving issues related to Drop Ship orders
• Proactively identify and communicate anticipated delivery delays to the Call Center Drop Ship area.
• Follow up weekly on Top 10 Vendors by Demand and Top 10 Aged Order Vendors to ensure vendors are shipping within agreed upon lead days
• Facilitate resolution of issues that affect customer service
• Monitor Vendornet and escalate any issues impacting the flow of data between vendors and Cinmar
REPORTING AND COMMUNICATIONS:
• Prepare and distribute key information reports
• Meet routinely with planning and merchants to resolve issues
• Support Inventory Administrator as needed during peak seasons
• Other responsibilities as assigned by management
QUALIFICATIONS:
• Experience in vendor management, inventory planning or purchasing a plus
• Highly proficient in Excel
• High School Diploma (or equivalent) required, Bachelor’s degree preferred.
• Prior experience with an inventory forecasting system a plus
• Strong communication skills (both verbal and written) with large domestic/indirect import vendor base as well as internally across all levels of the organization
• Self-directed and self-motivated to meet and/or exceed business goals
• Demonstrates positive and supportive behaviors through change and adversity
• Demonstrated ability of problem solving, multi-tasking, and strong organizational skills.
