The Role
The Executive Assistant will play a critical role in providing administrative support to three leaders at Harry’s, and serve as an essential partner to the executive team. By managing everything from calendar and travel arrangements to internal communication and meeting management on behalf of their execs, this highly organized, endlessly resourceful person will ensure that nothing falls through the cracks. Because the role (and our team!) is so dynamic, this person must possess strong business judgment and communication skills needed to interact with a variety of people and job functions.
Teams you will support:
The person will support the head of our R&D team, the head of our Supply Chain team and the head of our People team. These are global functions that work across all the geographies at Harry’s, working often with our teams in Germany and traveling all over the world to visit suppliers and vendors.
You will support these three leaders, but will report directly to the Chief People Officer
Here is what you will do:
• Manage Google calendars for 3 leaders and set up internal and external meetings by coordinating with key partners. Proactively look forward and manage conflicts and priorities so your leaders can achieve their goals
• Coordinate weekly, monthly and offsite team meetings for teams. Also will have opportunity to lead meeting agenda and facilitate functional meetings.
• Manage and complete monthly expense reporting for all leaders, creating process and system to ensure all expenses are collected and submitted on time
• Manage and book travel plans (flights, hotels, rental cars, etc), thinking through all details to take the stress out of travel
This should describe you:
• 2+ years of experience in operations, in an analyst role, or in a fast-paced executive support function
• Highly organized and detail oriented with a proactive work-style
• Life long learner who is always seeking to improve yourself, your team, and the world around you
• Deeply empathetic person who quickly understands people’s needs and preferences and is proactive in helping making lives easier
• Creative problem solver who feels there is no sticky situation that you can’t wiggle your way out of, and you always come to the table with solutions
• Highly reliable, trustworthy, and consistent in your ability to produce the highest quality work. Consummate team player, always willing to help out.
• Sense of humor -- you take your work seriously and yourself un-seriously
Here's who you'll work with:
• You will report directly to our Chief People Officer and also support our SVP of R&D and our Chief Supply Chain Officer
• You will work most closely with the People, R&D and Supply Chain teams but collaborate with people from all over the company
