• Plan, prioritize and organize high volume of day-to-day activities, increasing executives efficiency
• Manage complex calendaring, travel arrangements (domestic and/or international) with accompanying detailed itinerary for executive and direct reports as necessary, with foresight to anticipate changes and modify accordingly
• Coordinate meetings and conference calls ensuring action items and deliverables are handled
• Arrange meetings and coordinate special events , i.e. department meetings, coffee chats, to increase executive visibility at all levels within the organization
• Compose and draft correspondence and other documents
• Interface with internal and external clients on behalf of executive(s) and manage communication with direct reports
• Prepare background research and information for all executives meetings
• Produce communications including emails, announcements and spreadsheets
• Prepare presentations, board books and manage communication within organization
• Manage other projects as defined by specific position
• Support the Executive Vice President , International along with additional support of Executives on International Team
• Act as liaison and maintain open lines of communications among senior executives and entire team
• Submit and verify all expense reports for executive(s)
• Executive presence working with BOD members and VIP guests
• Manage supplies ordering for the International team
Experience and Skills
• Excellent verbal and written skills
• Must have eight years or more experience at the EVP level or higher
• Advanced proficiency in MS Office - Word, Excel, PowerPoint and Outlook
• Spanish speaking, preferred
• Prefer domestic as well as international travel planning experience
• Previous experience supporting International Executives preferred
