Description
PRINCIPLE OBJECTIVE: The Coordinator, EL Creative Design Operations, will coordinate departmental duties (set-up meetings, request purchase orders for invoices, order departmental supplies and other support). The Coordinator will also post and fulfill all International artwork requests for Market Orders and ensure the enforcement of procedures and adherence to timetables and budget guidelines.
ACCOUNTABILITIES:
•Set-up and schedule seasonal Project Reviews, bi-weekly MDRs, weekly Creative Program Reviews, and Senior Management Approval meetings. Arrange room assignments for these meetings.
•Submit requests for purchase orders through the SAP system. Confirm compliance with Finance, when necessary. Track payments and processing in the Citrix system.
•Process and track vendor invoices related to all departmental programs (print advertising, TV shots, music usage and other operational expenses).
•Re-bill international markets on a monthly basis for all international Lightbox/Advertising invoices.
•Produce bulletins and shopping carts of programs to be offered to the markets.
•Fulfill artwork requests, using Global Edit, for Market Orders related to all categories via the International Marketing Website (IMW).
•Handle any necessary follow-up on all artwork including revisions and resubmissions to markets.
•Track International Market Offerings (IMO) for all categories (Fragrance, Makeup, Skincare, Holiday and Promotions) in Excel.
•Manage Generic Collateral program from inception to completion.
•Coordinate ordering of departmental supplies and keep records of all departmental spending.
•Track Department vacation calendar, sick and out of office days in Excel.
Qualifications
•Undergraduate College Degree Required.
•Candidate should have 0-2 years of experience in a traffic or operations environment.
•Strong organizational skills and attention to detail.
•Excellent communication skills – both written and verbal.
•Strong interpersonal skills.
•Proficiency in all Microsoft Office applications.
•General knowledge of print production, collateral materials, art and direct mail programs a plus.
