Description
Assist two Vice Presidents of Key Account Management with overall administrative support. This is a key position that also interfaces with many executive offices and both internal and external Retail partners.
PRINCIPLE ACCOUNTABILITIES
•Provide day-to-day administrative support to the VP- meetings/calendar, phone, mail, travel arrangements, expense reporting, typing (documents, presentations, etc.) filing
•Coordinate key department functions -business review books, work requests, etc.
•Organize work flow for the Vice Presidents to ensure efficient and timely completion of assignments
•Maintain appointment schedule and calendar, phone & emails
•Process expense reports & audit team for accuracy
•Support with PowerPoint presentations and other document updates as needed
•Coordinate presentation books/folders for meetings
•Organize partner meetings, scheduling and refreshments
•Organize meetings out of office including flight arrival/departures, hotel accommodations, and all F&B and meeting space
•Manage budget tracking with monthly updates to VP
•Handle all IT needs, facilitating computer repair and replacement and systems access
Qualifications
•0-2 years
•College degree or administrative equivalent
•Outstanding computer (Word, advanced Excel, & Power Point) and written skills
•Must be able to handle numerous assignments timely, simultaneously and work well and calmly under pressure
•Excellent interpersonal, oral and written skills
•Highly organized with ability to prioritize in a fast paced environment in order to meet all deadlines
•Self-Starter, detail oriented, adept at problem solving and analyzing information
•Experience with Concur an asset
