AIM Administrative Assistant
Position Summary:
Provide administrative assistance to the Admissions team, Institute Development Executive Director and staff, and Corporate Institute Directors in a confidential and professional manner.
Key Roles and Responsibilities:
• Provide administrative support to Executive Director, Corporate Institute Directors and Compliance Director, including but not limited to managing calendars, travel arrangements and reconcile corporate credit cards, composing and preparing correspondence, developing and maintaining filing systems and assisting with projects. travel arrangements and reconcile corporate credit cards.
• Answer Lead calls for both corporate schools, routing to admissions representatives or other parties as required.
• 4-6 X annually, support Institute Development Education Manager in certification process for coaches and master educators including prep, master list maintenance, communication, and travel arrangements.
• Manage Reception area, ensuring organization, cleanliness, full supply of pamphlets and paperwork. Serve as point of contact for shipments, etc, sort and distribute all incoming mail for AIM. Maintain office machines and order supplies as needed.
• In collaboration with Institute Development Administrative Manager; compile content, create and send Institute Network Newsletter every other week.
• Cover Admissions Reception Desk to welcome visitors and notify staff of guest arrival.
• Accurately consolidate Yearly/ Quarterly/ Monthly/ Weekly/ Daily Corporate Institutes business results in excel; report and distribute as appropriate.
• Manage, notify Third Party Schools and track all Guest and Student challenges from Aveda Customer Service.
• Update all Institute scholarship and competition materials, voting galleries and manage winner prize details.
• Manage Institute distribution lists, including internal and third party.
• Manage Institute room booking calendars.
• Participate in Aveda Corporate events and trainings as pertains to job responsibilities.
• Present and reinforce a professional appearance and maintain Company's appearance and dress standards at all time.
• Additional duties as assigned.
Qualifications
Education:
High School Diploma
Experience:
5 years related experience.
Other:
• Flexible schedule and willingness to work evenings and weekends.
• Proficient in Excel and Outlook.
• Ability to lift 30 pounds and ability to travel.
