REPORTS TO: Sr. Manager – International Transportation / Licensee
POSITION SUMMARY:
Assisting the Sr. Manager with ensuring the proper and timely flow of merchandise from our vendors to our Licensee Partners. Help to coordinate the on-boarding of new partners and stores. Supports all operations-based import processes and procedures.
RESPONSIBILITIES:
• Own and be responsible for the licensee partners assigned
• Work closely with overseas vendors, Production Teams, Merchants, Intl. Merchandise Planning / Directors and Intl. Partner Transportation Teams to ensure the timely flow of goods to our partners, and the accurate clearance of those shipments
• Email and phone communication with Merchant / MOS teams (price revisions, releasing PO’s, handover updates, etc.)
• Email and phone communication with Intl. team (Merchandise and Planning) regarding late handovers, shipping updates, order cancellations, quality issues, etc.
• Email and possible phone communications with licensee partner & consolidators regarding late handovers, missing PO / packing list data
• Partner with Licensee partners, freight forwarders and overseas vendors to resolve documentation issues related to the clearance of merchandise, such as pricing
• Work with Production/Merchandising groups to resolve all issues related to ensuring the purchase orders are updated timely with correct handover dates and prices
• Retransmit packing list / PO data from Tradestone as needed
• Become very familiar with Tradelink Invoice creation software
• Assist in invoice recreation as needed
• Assist with manual updating of fabrications on excel created invoices, if needed
• Assist with resolving discrepancies between TradeStone PO & packing list(s) and Tradelink
• Assist with resolving discrepancies between Tradelink PO/packing lists and Consolidator Booking Authorization form
• NEW LICENSEE PARTNER on-boarding process
• Explain how AEO manages our licensee business to new partners
• Licensee responsibilities / AEO responsibilities
• Coordinate touch-base meetings between APLL and licensee for an understanding on processes and procedures
• Work with new licensee partner to learn their document and shipping requirements for importing into their country
• Maintain SOP’s and training aids
• Calculate reduced FCA pricing for late handovers and communicate such to licensees, wholly owned teams, merchants and vendors
• Maintain and update relevant documentation for the Vendor Manual
• Respond to all inquiries from Licensee merchants, consolidators and supply chain partners that may arise involving shipping or documentation information.
• Ability to review exceptions in documents, purchase orders, etc. and resolve them
• Willingness to become familiar with regulations for importing apparel / footwear / fragrance / beauty products into numerous countries
• Create / revise “transfer” excel invoice templates for use by our licensees / consolidators as necessary
• Process PST / PSAG sell-off invoices as needed
• Heavy excel usage required
• Become familiar with, manage and process inter-company transfers, as needed
• Attend Intl. Coordination held in the AE NY Design Center 4 times yearly
• Touch base meetings with partners
• Attend Intl. Team meetings in NY, weekly, monthly, or as scheduled
• Accounts Receivable Reconciliation
• Assist licensee and AEO A/R dept. in reconciling invoice / payment discrepancies when encountered
• Transit Time updates 3 times yearly
• Assist Sr. Manager of International Transportation / Licensees as needed
• All other duties as assigned
QUALIFICATIONS:
• Bachelor’s Degree in Supply Chain or related field required
• 1+ year of related experience
• High degree of proficiency MS Office Suite, especially EXCEL, including pivot tables, Outlook and Internet applications
• Strong analytical, prioritizing, interpersonal, problem solving, budgeting, project management (from conception to completion), and planning skills
• Strong verbal and written communication skills
• Demonstrated collaborative skills and ability to work well within a team and also independently
• Ability to work with and influence peers and senior management
• Ability to work in a fast-paced and deadline-oriented environment
• Self-motivated with critical attention to detail, deadlines and reporting
