Sr Executive Administrative Assistant - Tommy Hilfiger
POSITION SUMMARY
The Senior Executive Administrative Assistant supports both the President, Retail, NA and the EVP, General Merchandise Manager in all areas of the business, including scheduling, travel plans and expense reports, and provides support for projects including presentations and group meetings.
RESPONSIBILITIES
• Organize flow of work, prioritize tasks and activities, and ensures that routine administrative functions are carried out in a timely and effective manner, e.g. word processing, copying, and organizing all travel arrangements
• Coordinate with internal and external teams to organize high profile meetings, videoconferencing, trips and events; ensures executive meets his/her commitments; anticipate all support presentation materials and technology requirements
• Supervise various office activities, such as supply ordering, office equipment maintenance, new team member set up and office relocation
• Prepare multimedia presentations (PowerPoint a must ; Keynote a plus), excel spreadsheets and be able or willing to learn new technology applications relating to presentation development
• Undertake ad-hoc projects involving research; may draft communication or reports
• Triage internal and external communication and prioritize accordingly to help maintain executives’ schedules
• Maintain and update extensive database of contacts
• Prepare, submit and track payment of travel reimbursements
• Assist with select special projects
• Orders departmental office supplies adhering to budget set for department
• Collects and verifies expense reports and capital expenditure requests for department, including applying G/L codes
QUALIFICATIONS
• Previous experience in supporting a Senior Level executive is a plus ; minimum 2+ years of related work experience
• Bachelor’s degree
• Polished professional with strong graphic sensibilities
• Strong interpersonal skills
• Advanced PC and Mac skills including Microsoft Word, PowerPoint, Excel. Other related multi-media software a plus especially Keynote. Knowledge MS Office in particular the Outlook Email, Calendar and Task Management functionality
• An ability to communicate at various levels within and outside the organization.
• Well-organized, methodical and attentive to detail
• Ability to work in a fast-paced and fluid environment with changing priorities required
• Ability to handle confidential information and matters with discretion
• Ability to prioritize own workload and to work without close supervision; remain cool under pressure
• Strong written and oral communication skills
• Excellent organizational skills including the ability to thrive in a fast paced, multiple task environment
