Working closely with the Director of HR, the Office Coordinator will lead efforts in the daily operations of the Skip Hop NY office as well as providing administrative and project support to the HR department.
Responsibilities include but are not limited to:
Office Operations:
• Point person on all office operation needs (repairs, maintenance, improvements, processes)
• Research, build and maintain vendor relationships; sourcing the most cost effective options without sacrificing quality in service
• Build and maintain relationship with building staff and management to ensure office safety and prompt response to office needs (fire safety, mail and delivery process, office security)
• Oversees general wellbeing of the office, maintains organization and cleanliness of conference rooms, puts out daily snacks, assures bathrooms are in good order and all supplies are well-stocked.
• Supplies (kitchen and office) - processing, storage and maintaining relationships with vendors, managing budget
• Coordinate and lead any internal office moves, office set-ups for guests (visiting executives from Atlanta headquarters) and/or new hire desk set-ups
• Liaise with external cleaning service to ensure service is meeting expectations
• Shipping and receiving - distribution, shipping and working with vendors to expedite (FEDX, USPS, messenger)
• Provide front desk reception service (greeting guests and answering phones)
• Assist with planning and execution of general office events, including Holiday activities, interoffice meetings and trainings.
Human Resources
• Schedule candidate interviews (and candidate travel, as needed),
• Schedule Intake calls with internal recruiting team, HRBP & Hiring Manager
• Facilitate assessment process
• Serve as point of contact for candidates and ensure exceptional experience
• Manage and follow through on candidate expense reimbursement
• Follow up on Interview Evaluation Form for each candidate and open role
• Assist with planning and execution of employee engagement events
• Maintain company organizational charts and employee photos
• Special projects, as needed
Experience and Skills
• Excellent communication skills
• Ability to self-lead/motivate, drive for results and follow through while effectively managing expectations of partners
• Strong project management skills - an ability to take any project & break it down
• Creative thinking and the ability to find innovative solutions is a plus.
• Strong customer service and organizational skills.
• 2+ years experience
• Familiarity with a Consumer Goods/Wholesale Environment
• Ability to lift and/or carry 5-20 lbs. or more; pulling or pushing of carts when necessary.
