POSITION SUMMARY:
Under minimum supervision and with wide latitude for independent judgment, the Assistant shall support the efforts of the Industrial Design department by handling and maintaining daily office activities, setting up and managing the office systems, and monitoring financial activities.
POSITION DUTIES:
• Assist the Chairperson, assistant chair, and faculty with project management (e.g. distribute collateral materials).
• Serve as liaison to faculty, internal departments, external organizations, and students.
• Coordinate and prioritize daily office activities (i.e., order and maintain supplies and equipment, supervise temporary help, including student workers, distribute work to support staff, coordinate projects, respond to telephone and in-person inquiries, etc.).
• Maintain departmental systems, databases, and computer and other office files.
• Assist with faculty recruitment.
• Monitor financial activities (i.e, generate purchase orders, set up spreadsheets, initiate appropriate payroll/payment actions as directed, oversee expenditures, work with campus budget office to ensure appropriate documentation and accountability, etc.).
• Generate a variety of materials (e.g., memoranda, letters, reports, etc.).
• Serve as a liaison to Pratt facilities, security, and other supporting agencies.
• Plan and coordinate student recruitment and related activities; maintain student records, assist with special events.
• Perform all other related duties as assigned.
EXPERIENCE AND QUALIFICATIONS:
Education:
Bachelor’s degree or equivalent required.
Experience:Must have at least two years’ office management experience preferably in a related atmosphere. Experience in a college environment and background managing and supervising students preferred.
Knowledge and Skills:Word processing and spreadsheet skills as well as excellent written and oral communication interpersonal and organizational skills required. Must have the ability to communicate effectively with diverse populations, as well as demonstrated sensitivity to cross cultural perspectives and experiences.
