JOB PURPOSE
The Workplace Services Coordinator-Retail provides proactive support for the US Head Office Workplace Services/Facilities Retail team.
RESPONSIBILITIES
Administrative
• Provide administrative support to Workplace Services and Facilities team. Coordinate Budget meetings and agendas; assist with presentations and meeting materials.
• Regularly handle critical and highly sensitive & confidential matters.
• Maintain content of the internal Operations Home Page
• Super user for centralization of retail purchase orders, VIM and follow through to ensure vendor payment.
• Working with Finance, maintains all yearly real estate lease purchase orders for the Americas.
• Coordinates all vendor creation requests for retail; ensuring all documents are properly completed and submitted to Director for authorization.
• Submits all vendor creation requests to the IT service desk ensuring a ticket # is generated and follows through to completion in SAP.
• Take minutes at team meetings, distributes and follow up with team as needed.
• Assist in implementing and communicating company policies and procedures to employees in the US Head Office, Retail Stores and Field Teams.
• As required provide assistance on special projects to increase the departmental effectiveness and efficiency of the team.
• Support and help maintain Americas dashboard service
• Compile monthly/quarterly budget reports from shared budget spreadsheets
• Support vendor compliance with consolidated invoicing/data formatting compliance
• Support and communicate QBRs for all vendors, collect feedback through Landport Reporting
• Regularly handle critical and highly sensitive & confidential matters
Budgeting
• Maintain region’s OP-EX budgeting spreadsheet supporting accurate collection of spend
• Super user for centralization of retail purchase orders, VIM and follow through to ensure vendor payment.
• Working with Finance, maintains all yearly real estate lease purchase orders for the Americas.
• Complies monthly/quarterly budget reports from shared budget spreadsheets
Vendors
• Coordinates all vendor creation requests for retail; ensuring all documents are properly completed and submitted to Director for authorization.
• Submits all vendor creation requests to the IT service desk ensuring a ticket # is generated and follows through to completion in SAP.
• Support vendor compliance with consolidated invoicing/data formatting compliance
PERSONAL PROFILE
• 2-3 years administrative or retail experience
• Results Oriented
• SAP / Purchase Order management a plus
• Demonstrates a high level of integrity
• Strong relationship-building and customer service skills
• Strong follow-up skills
• Highly effective communicator
• Ability to multi-task in a fast paced environment and maintain confidentiality
• Excellent written and verbal communication skills
• Excellent time management and organizational skills, including the ability to prioritize work effectively
• Creative problem solving ability
• Strong knowledge of the MS Suite
• Knowledge of SAP a plus
• Spanish / Portuguese language skills a plus
