Description
KEY ACCOUNTABILITIES
• Proactively manage the EVP’s calendar. Keep a holistic view of the calendar to meet various targets throughout the year (e.g. pdp meetings, talent planning, leadership schedule, vacation time). Ensure the EVP is on time throughout daily schedule.
• Organize daily work flow for EVP. Prepare and manage any correspondence, reports, presentations, etc. as needed. Sort and review mail and email on a daily basis.
• Ensure all PDP meetings are scheduled and completed on timely basis.
• Create and schedule onboarding for new direct reports to EVP.
• Work closely with Supply Chain Leadership Team to ensure EVP’s objectives are met
• Organize logistics of SCLT meetings and dinners and assemble agendas and presentations for meetings.
• Organize all preparations for the Global Supply Chain Strategy meeting including prep sessions, invites, catering, seating and Strategy Book assembly and distribution.
• Interface appropriately/ manage correspondence with a broad array of internal and external stakeholders, including senior executives, Board members, and Company employees at all levels and external callers and vendors.
• Manage department files both electronically and physically, continuing to edit the process to make things accessible and functional.
• Prepare/ edit power points/ documents/ memos when needed.
• Flexible hours to stay as needed, to assist on special projects and work flow. Ability to work with ease and efficiency in high activity work environments.
Qualifications
ANDIDATE PROFILE
• Clear communicator. Exceptional ability to articulate intricate concepts in a clear and succinct manner to break down a complex process. Problem solving skills are essential.
• Ability to work in a dynamic and complex environment
• Strong strategic thinking; ability to take a strategic view while at the same time deep-dive into complex issues and details as necessary.
• Strong leadership and interpersonal skills in interacting with all levels within an organization; ability to influence others and leverage their strengths. Proven ability to align parties and enroll others by sharing convictions, integrating other points of view, making/facilitating compromises when necessary
• Excellent organization, presentation and writing skills
This is what would go back to the Chief of Staff
• Operationalize key strategic initiatives/ office priorities. Breakdown steps needed to move initiatives forward. Drive follow through across critical meetings and conversations. Identify obstacles, including resource allocation and role assignments.
• Be thought partner for EVP, providing insights and solutions to help optimize results and foster efficiency.
• Drive agendas for Supply Chain Leadership Team meetings/ LBF meetings/ etc.
• “Connect the dots” across meetings/initiatives - ensure alignment and integration of structures, systems, processes and people to achieve desired outcomes; assess and redirect, recognize interdependencies and ensure alignment of strategies and activities
• Conducts organizational reviews to assist in developing strategies and implementation plans to improve all aspects of department function(s) and drive efficiency within the organization/ Supply Chain.
• Execute the development of the strategy from initial concept phase to completion and Cascade.
• Work with communications to ensure consistent messaging from the EVP office throughout the year.
