Administrative Assistant - Sean John
Specific Responsibilities
Scheduling:
• Assists in managing calendar and appointments.
• Helps with scheduling and organizing both onsite and offsite meeting’s, luncheons, events, conferences, etc. and identified the most appropriate locations.
• Arrange all travel for Executive Vice President.
• Manages all details pertaining to reservations, itineraries and budgets if required.
• Prepares agendas, distributes information or invitations and may assist with set-up of the facilities.
• Coordinate office space, telephone, computer equipment for new hires/freelancers reporting EVP.
• Organizing, preparing, and prioritizing correspondence.
• Answers/responds to telephone calls, takes messages, opens and distributes mail and responds to routine email when necessary.
• Composes and prepares confidential correspondence, memos, business plans, etc. Proofreads copy for spelling, grammar, and layout and makes appropriate changes. Responsible for accuracy and clarity of final copy.
• Monitor executives email account for important items.
Administrative / Other Support:
• Prepares and modifies visual presentations.
• Performs various administrative/clerical duties such as maintaining supplies, updating directories, faxing, copying, and filing.
• Performs other duties related to supporting Executive as requested, including personal matters.
• Celebrity gifting.
Meetings:
• Assists Executive with preparation for meetings.
• Attends certain meetings, records information and assists with follow up when needed.
Reports:
• Conducts competitive research, prepares various sales and business reports from database system.
Skills and Requirements
• College degree required.
• 3+ Years of Administrative Experience.
• Must have experience working in Retail/Wholesale/Fashion industry.
• Must be passionate about the fashion industry.
• Proficiency in Word, Excel, PowerPoint and Lotus Notes.
• Excellent organizational, meeting planning coordination and project management skills.
• Strong communication skills.
• Organized, independent, and self-motivated with a team player attitude.
• Ability to collaborate with all levels of the organization.
• Ability to maintain a high level of confidentiality.
• Ability to greet and converse with external customers professionally and in a way that positively represents the Executive and the Company.
