Undergraduate Processing Coordinator - Admissions
POSITION SUMMARY:
Performs general administrative duties requiring prioritizing of work and independent judgment and discretion, including maintaining a productive processing team by training and supervising the clerical, seasonal, and grad assistants, identifying opportunities to improve and expedite the back-end processing of application materials. Assist with monitoring the credit card and cash advance expenses of admissions recruiters, making sure that monies used for recruitment are accounted for through reconciliation. Provide direction to uphold organization and integrity when dealing with the sensitive correspondence needed to complete an admissions application.
POSITION RESPONSIBILITIES:
• Use of Docuware, Colleague and Admit to update prospective and currently enrolled student’s files.
• Oversee the organization, and filing of all correspondence required to complete a potential student’s admissions application.
• Evaluate and reconcile credit card and cash advance receipts. Act as a liaison between the comptroller’s office and the admissions department and help to ensure all items are submitted and approved on time.
• Ensure that there is proper staffing for daily clerical duties. Interviewing and hiring the graduate assistant staff. Working with the staff agency to recruit and hire temporary workers for processing the admissions applications. Composing a work schedule with the temporary workers and grad assistant, and creating a work flow with the department head for the clerical and temporary workers.
• Manage the sorting of all incoming mail, faxes, scans and courier deliveries for distribution to the entire admissions staff. This includes overseeing the scanning of documents and then indexing the scanned documents.
• Supervising the graduate assistants, clerical and temporary workers with the daily routine and make adjustments if necessary.
• Assist with the preparation and sorting of outgoing admissions mailings.
• Perform data entry and other clerical tasks to process applications and materials when needed.
• Assist with admissions on campus events on weekends when needed (usually one or two weekends each year).
• Other tasks when needed.
QUALIFICATIONS:
Education:Bachelor’s degree required.
Experience:At least two years of office administrative experience, preferably in an admissions office.
Knowledge and Skills:Microsoft Office, and familiarity with programs like Colleague, Admit and Docuware. Strong organizational and time management skills. Must be team oriented and have had past successful experience working in a team environment. Must have the ability to handle and maintain confidential information. Must demonstrate inter-cultural competence and ability to work effectively with a wide range of constituencies in a diverse community.
