POSITION SUMMARY:
Responsible for the daily administration and support of Associate Benefits in any of the following areas: medical, dental, vision, ancillary benefit programs/offerings, and records maintenance. Provide high level customer service to Associates and HR business partners through problem resolution and sharing knowledge of company benefit programs, policies and administrative procedures.
RESPONSIBILITIES:
• Administer AEO medical, dental, vision, dependent care FSA, medical FSA and LFSA, health savings account, COBRA, unemployment, gym reimbursements and tuition reimbursement.
• Serve as a liaison between AEO and Associates with various benefit vendors on enrollment and claims issues.
• Process enrollments, changes and terminations in Benefitfocus and research issues
• Submit cases and work closely with Benefitfocus to ensure cases are addresses and resolved in a timely fashion; escalate as necessary Conduct audits in Benefitfocus and data clean as necessary, to ensure data integrity
• Conduct weekly vendor error report audits
• Consistent and timely management of the benefits Inbox
• Work closely with AEO Benefits Center to address appeals and outstanding enrollment questions and issues
• Reviewing and correcting issues reflected in deduction file error reports and demographic file error reports
• Update information on the Communications Portal as needed
• Instruct Associates on the Benefitfocus registration process
• Stay logged into the call center, answering calls throughout the day and returning any missed calls within 24 hours
• Assist with unemployment claims communication initiatives, learn the Case Builder system (TALX) and determine how to leverage system capabilities and streamline claim efforts.
• Complete the quarterly and annual San Francisco Healthcare ordinance reporting.
• Complete required paperwork and/or communication requirements (i.e. email or fax) for IRS appeals, CMS, ACA, and Health Care Reform, ensuring data is accurate and deadlines are met.
• Complete Benefit Exit Interview documentation as assigned, assist separated Associates and work closely with HR business partners to ensure a smooth exit process.
• Coordinate blood drives, flu shot events, and benefit fairs as assigned.
• Assist with organizing and executing additional benefit offerings and events as assigned.
• Assist with annual Open Enrollment project plan and execution.
• Facilitate the benefits segment of the new hire orientation as assigned.
• Stay current on all related laws and regulations, as well as, trends and opportunities.
• Evaluate current processes, improve and create efficient processes on an ongoing basis.
• Fill out benefit surveys and questionnaires as assigned.
• Prepare, review, track and submit weekly and monthly vendor billing as assigned. Ensure a comprehensive understanding of the billing process and ensure that all self-reported figures are accurate.
• Additional duties and projects as assigned.
QUALIFICATIONS:
• Bachelors Degree in Human Resources, Labor Relations, Business Administration or equivalent experience required
• 1-2 years employee benefits experience and/or customer service experience preferred, with emphasis on multiple locations
• Knowledge of legal standards throughout the country related to Benefits administration; including, but not limited to: ERISA, Section 125, HIPAA, PPACA, COBRA, ADA and FMLA
• High degree of proficiency MS Office Suite, Outlook & Internet applications
• Strong prioritizing, interpersonal, problem-solving, presentation, & planning skills
• Strong verbal and written communication skills
• Demonstrated collaborative skills and ability to work well within a team & ability to work independently when applicable
• Ability to work with and influence peers and senior management
• Ability to work in a fast-paced and deadline-oriented environment
• Self-motivated with critical attention to detail, deadlines and reporting
• Knowledge of Benefitfocus, Kronos,ADP and/or Oracle HRIS system(s) a plus
