Administrative Assistant (Part-time) - Alumni Relations
POSITION SUMMARY:
The Administrative Assistant will work directly with the Executive Director of Alumni Relations and the Alumni Relations team.
JOB RESPONSIBILITIES:
• Assist with telephone coverage, answering phones, responding to alumni and community inquiries and routing as appropriate constituent questions or concerns to the appropriate Alumni Relations team members, and IA team members.
• Assist with event planning & coordination (i.e., name tags, registration lists, etc., and follow-up post event).
• Process invoices for members of the Alumni Relations team.
• Prepare alumni ID cards.
• Enters data into Raiser’s Edge database in a timely manner and updates alumni records.
• Handles all travel arrangements for Alumni Relations team members; books flights, hotels, and responsible for compiling a high volume of trip materials. Compiles itineraries for every trip.
• Handles departmental mailings.
QUALIFICATIONS:
Education:High school diploma is required; college preferred.
Experience:Prior office experience, preferably in an academic institution.
Skills:
• Excellent communication skills, both verbal and written.
• Ability to manage multiple priorities and complex projects.
• Strong attention to detail; self-directed and creative problem-solver.
• Flexible and adaptable, comfortable with a diverse array of projects that require different skills and interests and may often change with each new execution or even in the middle of a project.
• Must have excellent customer service skills and be comfortable answering questions and thinking on their feet.
• Understanding of the mission of Pratt Institute and the importance of the relationship between the college and its students and alumni.

• Perform all other related duties as required.
• Must have the ability to work well with diverse populations; and demonstrated level of cultural competence.
