Administrative Assistant - Group President and Vice President, Chief of Staff
Description
Work in support of the Executive Assistant to the Global President to provide administrative support (70%) which includes but is not limited to:
• Provide high quality administrative support which may include, but is not limited to: Execute daily activities, including processing and supporting visitors, scheduling daily transportation and ordering meals. Coordinate meetings, including presentation material, room bookings, AV support and catering. Screen and handle incoming calls. Proactively manage office supplies and related procurement
• Coordinate travel: Arrange domestic and international travel and compile itineraries
• Process expense reports: Manage bills and statements related to expense report processing and departmental procurement. Prepare and submit accurate reports on a monthly basis
• Assist with ad hoc projects: Drive /support projects including presentations, spreadsheets and communications as needed
Lead support to the Vice President, Chief of Staff (30%) which includes but is not limited to:
• Maintain calendars: Proactively manage meeting scheduling and logistics, set conference/video calls involving multiple time zones. Develop relationships with administrative staff to facilitate effective meeting planning and scheduling
• Coordinate travel: Arrange domestic and international travel and compile itineraries
• Process expense reports: Manage receipts, bills and statements; prepare and submit accurate reports on a monthly basis
• Support business administration: Cover the phone, assist with documents, filing, copying and mailing; support ad hoc projects

QUALIFICATIONS:
• Undergraduate degree required
• Minimum of two years prior work experience, supporting senior leaders at a Fortune 500 corporation or a leading client services company
• Demonstrates a strong work ethic, high integrity and commitment to excellence
• Brings proven experience interacting and communicating with senior management
• Effectively communicates at all levels of the organization, both internally and externally
• Strong computer skills including Microsoft applications – Outlook, Word, Excel, PowerPoint
