Nautica & Kipling Facilities Coordinator
POSITION SUMMARY-
This position assists the Retail Store Development Team in all aspects of Facilities for over 100+ stores. Manages all open works orders placed by store in the Service channel database, including weekly calls with vendors, updating notes, reviewing quotes and closing out work orders. Schedule and manage preventative maintenance calls. Source new vendors as needed and evaluate current vendors. Manage Facilities budgets ensuring calls are completed per budgets, provide forecast and actual budget updates.
Reports to: Senior Manager, Construction
KEY RESPONSIBILITIES
• Manage service channel database including tracking open orders through to completion, having weekly calls with vendors, updating notes, updating NTE, etc.
• Manage vendors to ensure competitive and timeliness. Use score cards and tools to evaluate vendors
• Manage service channel database admin tools; including drop down choices for store issues, priorities, assigned vendor lists, notification options, fixbook insurance paperwork, etc.
• Schedule and manage preventative maintenance including HVAC, fire extinguisher, floor cleaning, high dusting, window cleaning, pest, etc.
• Provide recommendations, strategy and implement completions on ongoing maintenance such as HVAC replacements, LED retrofits, painting, etc.
• Source new vendors when needed including writing scope, expectations and quoting vendors
• Assist Construction, operations, visual and other depts. as necessary for any facility related installs or repairs.
• Oversee Facilities budgets including forecasting, providing actual and accrual reports. Invoice approvals and quote approvals based on budgets.
REQUIREMENTS
• 2-3 years’ experience of equivalent work experience; preferably in Retail
• Ability to manage budgets and control costs ( Financial Acumen)
• Service channel knowledge preferred
• Strong Microsoft Office, Excel and Word Skills
• Strong communication skills (written and oral)
• Strong time management and executional skills ; understand sense of urgency; self-motivated
• Strong ability to multi-task, prioritize, extremely organized with attention to detail
• Strong problem solving skills
Special Physical and/or Mental Requirements:
• Travel required – at times but minimal
• Willing and able to work additional hours when needed; on call after hours for emergencies
• Bend, lift, open and move product and related office items varying in weight from 1 to 25lbs, depending on need
