Description
Job Responsibilities
• Daily calendar, contact and email management, answering phones
• Daily printing of documents, creating folders, filing
• Arranging travel – flights, hotels, car services, document requirements
• Meeting set ups – calendar, conference room booking, logistics, ordering meals, etc
• Manage expense reports
• Track department spending, submit invoices, follow-up on payments, etc
• Manage external Non-discolsure documents – tracking expiration and ensuring timely renewal
• Oversee receiving and distributing of lab samples
• Secondary support to larger teams such as large group meeting scheduling
• Support specific to Global Marketing: Tracking department spending; Ownership of Monthly Asset Management Tracker; Coordinating the creation of the Go-To-Market presentation; Assist with lab sample mailings and Red Door Services mailings
• Support specific to Finance Team: Support in running ad-hoc Insights shipment reports and creating basic reports for the team
• Support specific to E-Commerce Team: Track e-Marketing & e-Operational Expenses, Respond to Virtual (scripted) Consumer Communication and Internal Brand/Education Team response escalation (ie Ratings & Reviews); Assist with corporate digital commerce presentations and business modeling.
Important Skill Set Consideration
• Ability to multi-task and manage priorities with the management team
• Experience supporting more than one executive at the same time
• Attention to detail
• Fluent in use of Microsoft Word, Excel & PowerPoint
• Proactive in anticipating needs
• Professional appearance and approach in dealing with senior level executives both inside and outside the company
• Discretion and confidentiality in dealing with sensitive company matters
