Overview
Champs Sports is seeking an Administrative Assistant. The Administrative Assistant provides administrative support primarily to the Regional Vice President along with others on the sales team as required. This position requires professionalism and discretion, and the ability to handle sensitive and confidential company information and documents. The Administrative Assistant must be extremely organized and enjoy the administrative challenges of supporting a Senior Executive. The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. A proactive attitude, and attention to detail are equally important!

Responsibilities
• Completes a broad variety of administrative tasks for Regional Vice President including; managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-relative meetings
• Plans, coordinates and ensures the RVP schedule is followed and respected
• Provides ‘gatekeeper’ and ‘gateway role’, creating win-win situations for direct access to the RVP’s time and office
• Provides a bridge for smooth communication between the Regional office and internal departments; demonstrating leadership to maintain credibility, trust and support with management staff
• Works closely and effectively with the RVP to keep him well informed of upcoming commitments and responsibilities, following up appropriately
• Manages a wide variety of special projects some of which may have organizational impact
• Organize and coordinate company events as required
• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitates the RVP’s ability to effectively lead the company
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
• Prepare professional reports and presentations as directed by the RVP or DMs
• Ability to maintain high level of confidentiality and exercise discretion
Qualifications
• Bachelor’s degree and/or equivalent with 2 to 5 years’ experience in a similar role supporting a Senior Executive, preferred
• Proficient in Microsoft Office (Word, Excel, and Power point)
• Ability to work with all levels of the organization in a professional, respectful, cooperative and courteous manner
• Resourceful team player, with the ability to also be extremely effectively independently
• Demonstrate positive, customer service and team-oriented demeanor
• Ability to communicate at a high level with all levels of management
• Must be flexible and able to adapt quickly to changes
