Job Description
HBC Digital adds thousands of new items onto the website each week. The Sample Manager leads a segment of the business (30-50% of banner item count) to lead the execution of the sample management process for each of these sites.
This role is responsible for:
• Ownership over multiple categories of business to manage the requests, logistics and communication of samples with the aim of reducing Not on Site inventory, increasing item count throughput , reducing time to site and reducing cost per item
• Proactively working to improve the studio turn-in process to increase the efficiency, item to web speed, and scalability of the turn-in process over time
• Serve as the liaison between buyer, vendor, item setup and studio teams on sample-related issues, exceptions or new processes
• Analyzes and compiles data and reporting to track progress and improve compliance and overall team performance
• Special projects supporting the Sample Mgmt team’s LRP goals (examples include physical inventory, VPI management, new PADC studio location, new studio workflow tool)
• Professional development, annual reviews and leadership of a team consisting of 8 to 10 associates at different levels (Sample Assistants, Product Supervisors and Senior Product Supervisors)
• Supporting the Director and Senior Director on HR/People strategy to meet/exceed retention goals
• Proactively work to improve sample management processes through conducting regular strategic reviews of turn-in metrics and work with cross-functional partners (see above) to identify and implement opportunities to improve the accuracy, efficiency, and scalability of the process
• Monitor and facilitate the daily turn-in process include ensuring a consistent and even flow of products-to-turn-in across all categories on a daily basis and troubleshoot questions for the studio and merchant offices
• Traffic sample management related projects from conception to completion (include develop project plans, resources, timeframes, budget, etc.). Document relevant project information and gain input from appropriate parties and obtain management sign-off and commitment
• Design management reports, identify and track Key Performance Indicators, conduct weekly team meetings
• Manage the Sample Management Supervisor teams through positive motivation and mentorship
• Provide support and thought leadership on an array of management issues relating to company priorities outside of the immediate primary responsibilities
• Provide status reports and project progress updates to the HBC Digital team
• Own deliverable creation for internal and external communication as needed
Qualifications
• BA/BS
• Must have a minimum of 4 years of experience in e-commerce businesses with the majority in traffic management
• Prior traffic and project management experience in an e-commerce retail environment
• Campaign and traffic management experience
• Monitor workload of the Product Supervisors on a weekly basis and work to adjust workload among merchandise categories based on expected volume. Responsible for documenting and communicating all adjustments to other item set up functions
• Create and develop solutions to streamline operations, improve consistency, and increase efficiency of the team
• Develop training materials and product guides as needed including thoroughly documenting all processes and procedures
• Understand the multi-channel aspect of the business and help manage that with Direct Reports
• Participates in long-term planning and resource allocation discussions - Manages freelancer scheduling and budget
• Exceptional organizational skills and passion for documentation and process
• Keen eye for details
• Possess in-depth project management expertise (planning, organizing and managing resources to bring about the successful completion of specific project goals and objectives)
• Strong communication skills, written & verbal
• Strong leadership and team development skills with an emphasis on driving results through positive motivation and mentorship
• Strong relationship management skills
• Competent with MS Project, PowerPoint, Word, and Excel (including pivot tables, v-lookups, data manipulation, etc).
• Ability to exercise independent, sound judgment
• Analytical skills and good business acumen and judgment when making decisions and ability to balance the interests of creative and operations teams
• Team player with self-confidence, assertiveness and personal motivation
• The ability to meet tight deadlines and manage stress (with a good sense of humor!).
