Administrative Assistant, Marketing and International, Men's Skincare Group
Description
The Administrative Assistant for Men’s Skincare Group will provide administrative and project support to both the Executive Director, Global Marketing of Lab Series, and Vice President/General Manager of International for the Men’s group (Lab Series and Clinique for Men).
Responsibilities:
Administrative
• Prepare and manage Executive Director’s and Vice Presidents daily calendar, travel schedule, reservations, computer, mail services, etc.
• Support Executive Director of Product Marketing Travel and Expenses
• Prepare travel itineraries for international and domestic market visits
• Responsible for the efficient and timely preparation of expense reports; maintaining detailed entry log and records
• Coordinate room set up for meetings; presentation and food set up
• Update departmental email distribution lists, organizational chart and international affiliate lists; manage LAB SERIES Sharepoint site
• Manage filing system for the office, help keep ED & VP organized with printed agendas and meeting reminders
• Work with other assistants in the departments to perform administrative tasks such as ordering office supplies, filling out financial forms, etc.
• Process No-Charge orders on behalf of the LAB SERIES departments; manage and restock product closet as needed
• Process invoices for Consumer Engagement team, following PO compliance procedures; manage estimate/invoice tracker and communicate to team outstanding invoices
• Manage new hire set up, including intern sets up, computer and program set up, welcome breakfast, onboarding sessions, etc.
• Organize team outings and team celebrations as directed
• Handle ad-hoc and personal projects as requested
Marketing
• Create competitive research reports and presentations; pull sales reports as directed using NPD, Beauté Research etc.
• Assist in the coordination / compilation of materials and preparation of presentations including Strategy deck
• Handle ad-hoc marketing & creative projects as requested using IMW, Mintel, etc.
• Develop marketing presentation as required
• Support VP of International on the tracking of regional priorities
• Lead the coordination of content for the quarterly business review
• Support Marketing and International team with any miscellaneous requirements
Qualifications
• Position requires 1-3 years related experience
• Strong interest in Marketing and the drive to grow
• Discretion and ability to handle confidential matters a must
• Ability to multi-task, understand priorities, and balance workload
• Must be comfortable working in a fast-paced environment and be flexible/nimble with shifting priorities based on team needs
• Excellent organizational and communications skills
• Ability to interact professionally with all levels within the organization; act as a team player
• Strong working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint are essential
• Ability to learn new systems
