This is a great opportunity for an individual interested in entering a career in HR to work directly with the top HR executive of a public company, providing a range of support from administrative, to project coordination, and involvement in strategic people initiatives. The Executive Assistant to the SVP of Human Resources will be responsible for leveraging exceptional organizational and administrative support expertise to drive superior results that achieve “best in class” performance for VINCE. The Executive Assistant provides direct day-to-day administrative and operational support to the SVP of HR, spanning document creation, calendar management, meeting preparedness, travel arrangements, expense management, and full-charge administrative and operational responsibilities for the HR function. As described further below, this role requires some willing to flex from a range of responsibilities and tasks, some that are purely administrative in nature, and others that will provide excellent learning opportunities and experience in HR.
Organizational Structure:
The Executive Assistant will report to the SVP of Human Resources.
Responsibilities
• Work directly with SVP on strategic people initiatives such as culture shaping and action plans, development of policies and procedures, developing HR analytics/metrics and dashboard, drafting internal HR communications, and a number of other projects.
• Generate and coordinate Board Meeting materials cross-functionally for Executive team
• Create and maintain organization charts, presentations, and other HR related documents and reports
• Anticipate SVP and Team needs to enhance individual and team productivity
• Produce high quality, accurate work product
• Bring a focused, steady and calming sense of administrative and operational expertise
• Proactively maintain and administer schedule via Outlook including meeting planning, preparation and follow-up action item administration spanning office schedules, project and meetings
• Formulate and prepare detailed travel itineraries for most efficient use of time and expenses
• Maintain appointment/travel calendars and prepare and follow up on all travel expense reports
• Evaluate and maintain pertinent files and records, data bases and other records
• Compile reports using Excel and provide support on special projects using Microsoft Office Suite
• Coordinate in-house and external meeting logistics to ensure room preparation, appropriate refreshments and in‐meeting operational support
Qualifications
• Bachelor’s Degree required
• 1 year of experience or internships in the Human Resources Function, strongly preferred
• Strong interpersonal skills; detail oriented; demonstrated ability to work in a fast-paced environment
• Strong proficiency in Microsoft Office software applications including Excel, Word and PowerPoint, required
• Ensure the highest standard of confidentiality and professionalism at all times
• Excellent interpersonal, verbal, and written communication skills are required
• Experience creating complex PowerPoint presentations containing a variety of charts and tables required
• Ability to summarize raw data and present conclusions in a clear, concise manner through narrative or numerical summary
• Direct, articulate, and tactful interpersonal style and presence, with the ability to work effectively with all levels of people/organization
• Ability to extend and/or flex schedule to meet business needs outside a traditional workday; this position requires the person to be available nights and weekends when the business requires
• Detail, process and metrics driven to achieve goals
• Self‐motivation with a strong sense of personal accountability
