Coordinator, Education, Tom Ford Beauty
PRINCIPAL OBJECTIVE:
The Coordinator, Global Education Operations will be responsible for the operations of Global Education programs and meetings for Tom Ford Beauty. This role will also provide administrative support to both Executive Director and Director, Global Education on all department initiatives.
This positon reports directly to the Executive Director Global Education.
ACCOUNTABILITIES:
Education Operations
• Work closely with Directors, Global Education and other co-workers to ensure consistency of product information and strategic objectives for all education materials.
• Deliver all programs and materials on time and within designated budget.
• Manage progress of Education materials and tools from start to finish, including: Create all SAP/CPMS requests for Global Education, manage production, tracking and distribution of materials in SAP/CPMS, and post materials on GMW.
• Monitor progress of materials and tools from start to finish, including: Create all SAP/CPMS requests for Global Education, manage production, tracking and distribution of materials in SAP/CPMS, and post materials on GMW.
• Point person for Tom Ford Beauty global uniform program. Responsible for including code creation, IMW offering, recaps and placing orders for NOAM and Global Education’s inventory. (Offered three times per year.)
• Partner with all markets (all global affiliates) to ensure Field needs are met, acquire feedback on programs and incorporate changes as necessary.
• Deliver all programs and materials on time and within designated budget.
• Tracks budget for individual programs to contribute to overall budget management of the Education Department. This includes cross-charging markets as needed and reconciliation of monthly Departmental expenses.
• Responsible for managing the SAP process which includes the creation and tracking of shopping carts and submission of purchase orders. Setting up new vendors and following through with proper paperwork required. Managing and organizing the documents accordingly.
• Track information for key global education metrics and report to Global Team through monthly dashboard and highlights.
Meeting Planning
• Coordinates with ELC Corp Meeting Planner for Global Education portion of Global meetings (including room set-up, A/V), hotel/travel accommodations.
• Forecast department product needs for meeting and demonstration purposes. Places orders and tracks lab samples and market samples. Attends market sample meetings with GBSC to ensure ship dates are in line with Global /NA seminar.
• Organizes material/products for all meetings and presentations (internal and external) including packing and arranging shipment of materials.
• Manages filing system and maintains education product closet (inventory, merchandise stock).
• Maintains departmental equipment – including laptop computer, IPhone’s/IPads, printers and video conferencing equipment.
• Coordinates travel arrangements, including: booking hotels and purchasing airline and train tickets as needed.
• Attends Global seminars to assist with set up and break down.
• Orders office supplies.
• Management and development of PowerPoint presentations for Executive Director. Gather all needed imagery and approved copy from various departments/persons.
QUALIFICATIONS:
• 0-2 years of related experience
• Excellent oral and written communication skills
• Excellent organizational skills
• Proven ability to self-manage, work in a fast-paced environment and work on multiple projects simultaneously
• Excellent customer service skills, professional attitude, flexibility and ability to handle change in a positive manner
• Computer skills including Microsoft Office, PowerPoint, Adobe Reader, Adobe Publisher, IMW, CPMS and Web Invoice
• Travel may be required (15%)
• Strong team player
• Ability to handle confidential matters.
• Flexible regarding working hours/overtime.
• Previous experience writing education materials and programs, is preferred
