This position is accountable for ensuring the setup and compliance with our customer base (merchandise suppliers) by collaborating with internal and external partners for all entities under American Eagle Outfitters, Inc The team member will be responsible for proactively and independently recognizing, assessing and documenting vendor adherence to company requirements as well as coach and educate suppliers how to do business within AEO Inc. guidelines.
RESPONSIBILITIES:
Merchandise Supplier Setup
• Manage new setups in the Supplier Management portal for all merchandise suppliers. In addition to working with internal and external partners for information accuracy.
• Primary point person for on boarding new vendors, include facilitating Corporate Vendor Manual Overviews.
• Develop and implement enhancements in the Supplier Management Portal.
• Manage active and inactive records for all merchandise suppliers. Which will include Factory exit strategies.
• Monitor vendor referrals in the brokerage system for Manufacture Identification Numbers (MID), develop a way to address and minimize issues to avoid delays in shipments.
• Develop and maintenance of assessment guidelines and documents utilized to monitor vendor compliance-based activity.
• Evaluate and communicate all findings in a timely and organized manner. Utilize a wide range of skills and work across major functional areas such as production, merchandising, finance and operations, to drive the performance of strategic vendor partners.
Corporate Vendor Manual
• Administer and update the Corporate Vendor Manual.
• Work with internal partners to develop and implement enhancements.
• Collaborate with other divisions of the company in order to streamline processes and/or develop new processes for better business practices.
• Become an expert on the vendor requirements within the manual for vendor onboarding sessions.
Vendor Relations
• Manage merchandise vendors that produce core and private label product, resolve inquires and/ or direct them to the correct resource.
• Review compliance practices and procedures, determine whether improvements can be made and work to implement changes as appropriate by bringing solutions and ideas forward to management.
• Collaborate with peers and leaders to ensure project outcomes align with priorities and direction, including communicating with business partners both internal and external with adequate follow-up.
• Develop and/or maintain Standard Operating Procedures.
• Develop and implement instructional materials to assist merchandise vendors with frequent issues.
• Direct Vendors to avoid and identify possible future issues that may result in processing delays.
• Analyze shipment details to identify and address vendors who continually pack and ship outside of guidelines.
• Empowered to work directly with vendors on performance improvement, identifying what vendors to coach and train. Analyze risks associated with using a vendor on current and future outsourcing projects and communicate the compliance impacts to Vendor Compliance leadership and the business units.
• Analyze common vendor inquires with merchandise vendors and determine trends. Utilize the data to improve processes.
• Respond to all vendor inquires and set up and/or facilitate vendor meetings /trainings to assist in the successful compliance of our vendor community.
Additional Responsibilities
• Ability to develop and implement reporting utilizing Cognos and QlikView
• The ability travel to distributions centers and sourcing offices.
• Support team members for the below tasks:
• Vendor Compliance Mailbox
• Collaborate with external and internal partners to identify and resolve compliance issues including but not limited to packaging, barcode labels, polybags and carton markings.
• Collaborate with external and internal partners to identify and resolve ticketing issues, process debits notes and update size charts.
• Chargebacks
• Create VC Chargeback service invoices on non compliance issues for merchandise vendors, review data in work order and create SI in TradeStone.
• Vendor/ Factory Segmentation semi annually for internal audit to evaluate and rank factory’s performance.
• Support the creation and distribution of the factory performance scorecards.
• Analyze current processes to identify positive or negative trends with individual vendor’s performances.
• Other duties as assigned.
QUALIFICATIONS:
• Bachelor’s Degree in Business Administration, Supply Chain/Logistics, Finance, or a related field
• Equivalent experience may be substituted for formal education
• Travel is required, including the potential for international travel
• High degree of proficiency MS Office Suite, Outlook & Internet applications
• Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills
• Strong verbal and written communication skills
• Ability to work in a fast-paced and deadline-oriented environment
• Self-motivated with critical attention to detail, deadlines and reporting
• Demonstrated collaborative skills and ability to work well within a team; proactively solicits feedback and perspectives
• Good customer service skills, highly organized, professional demeanor
