Purpose & Overall Relevance for the Organization:
• Provide administrative support to the Managing Director
Key Responsibilities:
• Receives and screens telephone calls, letters as well as enquiries and handling them where appropriate
• Prepares agendas, reserves and prepares facilities as well as records and transcribes minutes of meetings
• Treats all information with upmost confidentiality
• Supports the MD’s family with personal matters due to language barriers
• Manages and schedules meetings , appointments and conference calls
• Organizes and maintains file systems
• Organizes and storing paperwork, documents and computer-based information
• Arranges travel and accommodation for the MD and support MD team if required
• Arranges detailed travel plans and itineraries for the MD and compiles documents for travel-related meetings
• Liaises with customers, suppliers and other staff through various communication channels
• Represents the MD and organisation in a professional and courteous manner when interacting with both Internal and External customers guests and hosts guests when required
• Carries out background research, reports, presenting findings and supporting presentations of subjects the MD is dealing with
• Manages accounts and budgets and ensure budgets are tracked closely
• Producing and preparing documents, briefing papers, and presentations for the MD as required for meetings, conference calls and other events
• Arranges programs, events or conferences by arranging for facilities and caterer, issuing information or invitation
• Performs key project work and supports ad hoc administrative requests

Requisite Education and Experience / Minimum Qualifications:
• More than 3 years of progressive experience
• Mature, well-organized, a self starter with enthusiasm and initiative
