Nautica & Kipling Facilities Coordinator
There is an immediate opening for a Facilities Coordinator to assist the Retail Facilities team in all aspects of new store development. This individual will manage all aspects of contracts and invoicing with construction related vendors, such as fixtures, architects, general contractors, etc. In addition, this individual will keep accurate paperwork and documentation. Lastly, one will complete special tasks as assigned.
Individual will be responsible for the following:
1. Manage vendor/contractor relations.
2. Negotiate contracts with facility vendors and plan, budget, forecast and manage an estimated 100 facilities and supply accounts.
3. Manage emergency calls (hurricane, break-in, power outage) and schedule/ Manage annual services ( fire inspection, HVAC pm’s, cleanings).
4. Identify and provide analysis on areas of opportunity of expense savings and approve invoices – approx 300-400 per month.
5. Set up and maintain a fully web based, email driven request for service system for major category repairs (hvac, handyman, signs and electrical).
6. Manage and review Landlord and Nautica compliance of facility aspects of lease agreements.
7. Budget/ coordinate improvement projects (painting, TV installs, fixture rollouts, new logo updates, lighting retrofits, etc.)
8. Maintain accurate documentation of facilities – schedules, files, photos, contracts. 9. Assist construction in remodels and openings as needed and identify and manage capital projects.
10. Facilitate open communication and problem resolution of field facility issues - including follow up to weekly DM touch base forms w/ open issues.
Individual must have 2-3 years experience of equivalent work experience and retail experience is preferred. In addition, one must have prior budget experience. Strong Microsoft Office, Excel and Outlook skills are required. One must also have the ability to prioritize and multitask. Lastly, candidates must posess strong communication and analytical skills and be detail oriented.
