Overview
The Executive Assistant will provide support to a key member of the leadership team in a variety of administrative and clerical functions.
Responsibilities
• Provide confidential executive administrative support while anticipating and being proactive about the needs of each executive.
• Manage and maintain calendars.
• Screen all incoming calls and take detailed messages.
• Maintain and organize all files.
• Create detailed travel itineraries.
• Make both domestic and international travel arrangements including transportation, hotel and dining arrangements. Ensure that all visas and passport information are valid.
• Schedule meetings and ensure that all preparations are made prior to meeting time. Create agendas, book conference rooms, order food (if necessary) and have all appropriate paperwork ready for the participating parties.
• Maintain expenses.
• Coordinate and complete special assignments and projects as required; collaborate with various staff and departments in preparing reports.
• Be a positive representative of the Company as a whole when interacting with co-workers as well as internal and external clients.
Qualifications
• 2-5 years experience supporting one or multiple executives.
• Strong analytical skills and attention to detail.
• Strong verbal and written communication skills.
• Polished and professional.
• Extensive experience in Microsoft Outlook, Excel, PowerPoint and Word.
• Ability to interact professionally with high-level executives on a regular basis.
• Ability to work in a fast paced and dynamic environment.
• Ability to prioritize.
• Excellent follow-up skills.
• Ability to work independently as well as part of a team.
