PRINCIPLE OBJECTIVE:
Assist the Vice President’s of Global Skincare & Makeup Marketing, and provide overall administrative support to the departments. This is a key position that also interfaces with many executive offices.
ACCOUNTABILITIES:
1) Provide day-to-day administrative support to the Vice Presidents: meetings/calendar, phone, mail, travel arrangements, typing (documents, presentations, etc.) and filing.
2) Coordinate key departmental functions: vacation schedules, intra-departmental routing, logging and filing of all copy, artwork, forecasts, work requests, etc.
3) Provide general administrative support to department (meetings, travel, expense reports).
4) Coordinate Presentation Books for meetings.
5) Assist in preparation for Management meetings.
6) Issue PPD notes for department.
7) Coordinate weekly IMW updates for department.
8) Coordinate all Comp & Lab Sample regional requests; Organize & coordinate materials for Sales Meetings, Regional Meetings and Roundtables (PowerPoint, comps and shipping).
9) Follow the market; compile and maintain competitive research including advertising swipe, fact sheets, etc. Develop competitive boards as needed.
10) Serve as key point person for launch calendar updates for Makeup Marketing team.
11) Track Tooling and Comp budget expenses.
12) Create and issue all purchase orders / Travel Invoices/Office Supplies.
13) Manage Budget for department expenses – follow up with Managers and VP.
14) Opportunity to work on special projects for key brand launches.
QUALIFICATIONS:
1) 1 to 2 years work experience.
2) College degree or administrative equivalent.
3) Outstanding computer skills: Microsoft Word, Microsoft PowerPoint, Microsoft Excel and Written Skills.
4) Must be well organized & highly detail oriented.
5) Must be able to handle numerous assignments simultaneously and to work well and calmly under pressure.
6) Excellent interpersonal skills, oral and written skills.
7) Although reporting relationship is directly to Vice Presidents, candidate should be highly comfortable with providing support for other members of Department as appropriate.
