Directly supports the VP of Planning and the Senior Leadership Team preparing documents, memos, and other general communications including the creation of presentations. Assit in coordinating travel itineraries, processing expense reports and other support functions. Provide high level, accurate and timely analytical reporting to support the functions of the logistics operation.
• Responsible for preparing documents including internal memos and other general correspondence. Assist in developing presentations and organize, update, and maintain files.
• Responsible for coordinating travel itineraries.
• Set up meetings, manage calendars and schedules.
• Assist senior leaders preparing and processing invoices and expense reports.
• Responsible for general administrative support to the senior team, including answering phones and other communications, representing leadership when needed and working closely with direct reports of the senior team to help them when necessary.
• Assist with general facility communications including newsletters, posters, and other associate communications.
• Work closely with other senior level executives and their assistants as needed.
• Act as the point person for UK employees looking for direction to connect with US employees, other general inquiries within the campus.
• Represent the senior leadership at all times
Essential Knowledge:
• High School Diploma or equivalent
• Proficiency in use of Microsoft Office (Word, Excel, Power Point,) products
• Understanding of general communication standards
• Mathematical comprehension
• Knowledge on use of office equipment (copiers, fax, scanners)
• Knowledge of travel industry helpful
• Knowledge of budgeting helpful
Successful Experience:
• 3-5 years previous senior administrative level experience
• Logistics experience helpful
Technical Skills:
• Strong Organizational skills
• Excellent communication skills (verbal, written)
• Analytical skills
• Knowledge of the Visio program and organizational chart creation
