Job responsibilities
• Provide administrative support to the executive; support with corporate/personal expense claims, etc
• Be responsible for heavy calendar management, managing with the executive all aspects of scheduling, requiring interaction with both internal and external executives and assistants, as well as team members, to coordinate a variety of meetings/conferences, prepare materials and follow-up correspondence
• Communicate and handle incoming and outgoing electronic communications on behalf of the executive; communicate between executives and organization as primary support to the executive; open, sort, and distribute incoming correspondence, including faxes and email; file and retrieve corporate documents, records, and reports
• Assist executive with preparation of presentation materials; prepare background documents and outgoing mail as necessary; attend meetings in order to record minutes; transcribe dictation to final copy and finalizing draft documents; interpret for external business meetings, internal official meetings and social events;
• Arrange travel schedule and reservations for executive and executive management as needed
Prioritize and manage multiple projects simultaneously, and follow through on issues in timely manner
• Coordinate special projects (eg. Regional Management Offsite) which may include general affairs, travel management, local logistic support, reports distributing, etc.
• Resolve problems and/or discrepancies which may involve research and data collection
Candidate's profile
• Able to work and think analytically.
• Fluent in English and excellent interpretation skills.
• Good understanding of Brand and passion to work.
• Knowledge of Word, Excel and PowerPoint applications.
• Able to work well with all levels of management, staff, outside clients and vendors.
• Multi-tasking and time management skills
• Ability to work independently
