Divisional Coordinator and Personal Assistant
Department: eCommerce and IT
Location: London
Reporting to: Vice President of eCommerce and Vice President of IT
OVERVIEW
The primary purpose of this position is to provide high-level administrative support to the eCommerce and IT divisions. This role requires an excellent communicator, someone very organised who has relevant administrative and PA experience. You will be highly motivated, a confident individual with exceptional multi-tasking skills; able to exhibit confidentiality, discretion, tact, diplomacy and professionalism when dealing with Business Partners (including Directors or Senior Managers across the business).
The candidate will need to be capable to perform key tasks such as: Diary Management, Record-Keeping, Travel Coordination, Scheduling Meetings and conference calls, Receiving Visitors, Database Management and Reporting, & Preparing Presentations for Meetings.
Major Responsibilities include but are not limited to:
• Coordinate the Vice President’s (VP’s) diary, update their calendar and manage complex appointments and schedules for the VPs and their Teams across various time zones
• Arrange travel and accommodation for VPs and team
• Support smooth communication between team members, external partners and different Company departments.
• Assist in the coordination and planning of various events, meetings, conference/video calls
• Handle telephone, email and post enquiries and respond as appropriate
• Assist in producing documents such as briefing papers, reports and presentations
• Draft, prepare, distribute and follow-up with various confidential correspondence
• Prepare expense reports
• Participate in other activities/projects upon request
Requirements:
• An experienced Divisional Coordinator or PA with excellent administrative experience
• Computer literate with excellent skills in MS Word, Excel and PowerPoint
• Upbeat, positive, outgoing, personable and able to relate well with diverse populations and age groups
• Excellent communication both verbal and written – fluency in English essential
• Extremely discreet and trustworthy
• Excellent organization and time management skills, ability to prioritise workload and to meet tight deadlines
• Strong attention to detail and ability to competently work on multiple projects simultaneously
• Ability to take initiative, multi-task and work well under pressure
• Previous exposure to fast paced and a dynamic environment
• Proactive and flexible
