We are currently recruiting for the role of PA to the Vice President/General Manager.
POSITION OERVIEW
• Providing extensive administrative and secretarial support to General Manager and ensuring the effective running of the General Manager’s and Brand office
• Organizing, planning and assisting with the execution of external meetings, brand meetings and brand functions
• Brand contact point for internal and external business matters
• Coordination of all brand conferences and special projects
SUPPORT TO GENERAL MANAGER
• Maintaining an up to date calendar for VP/GM
• Organisation of the Management Team's diaries for status updates as required
• Email management for General Manager
• Responding to all emails, letters and incoming calls in a courteous and effective manner, maintaining emails and invitations; ensuring the VP/GM is aware of messages at all times
• Maintaining efficient filing system
• Arrange Visas and travel for international travel
• Submit all expenses in a timely manner
• Arranging hotel and travel for General Manager and their direct reports as necessary
• Liaising and maintaining close contact with other Gloucester Place, Fitzroy Place, field based and Kites Croft departments on General
Manager’s behalf
• Executing and concluding special projects as defined by the General Manager
• Distributing all collateral for management meetings, documenting the notes and follow up actions required
• Providing IT support and raising calls with GIS for General Manager
• Attend ELC PA Meetings on behalf of the brand
• Preparing inductions and intranet announcements for new starters and updating org charts
• Maintain a sustained level of all office stationary and branded printed materials
BRAND EVENTS & CONFERENCES
• Working with the Events and AV companies to coordinate and execute excellent standard bi-annual Brand Conferences within budget, collating conference feedback post event
• Collating PowerPoint presentations for Conferences and Retailer strategy meetings
• Assisting Global office with Roundtable meetings
• Collaboratively working together with other General Manager’s PAs for brand events
• Co-ordination of office moves
• Maintaining record of holiday dates for office personnel
Qualifications
OTHER AREAS
• Raise and monitor PO’s as required in a timely and accurate manner
• Establish and maintain excellent relationships with cross-functional groups (Sales, Marketing, BMG, Creative, PR, and Education)
• Attend regular Training seminars to broaden Jo Malone London philosophy and brand understanding
• Manage and respond to requests from all internal and external departments in a timely and efficient manner
• Maintain strong awareness of boutique activity and build effective relationships with store staff and field personnel
