Purpose and Scope:To manage daily operational functions for division and provide administrative support to divisional SVP
Key Responsibilities:
• Brand Calendar- Tracking & Reporting
◦ Develop comprehensive understanding of brand calendar & dependencies
◦ Attend weekly Calendar meeting with cross functional senior leadership to capture information and cascade as required
◦ Partner with SVP and team leads to track and report out metrics weekly for inclusion in ‘Plan to Win’ metrics reported to CEO and Senior Management
• Finance
◦ Partner with SVP on fiscal budget oversight
◦ Ensure department spending is in line with budget
◦ Interface with Finance team monthly to review budget detail against forecasts
◦ Monitor all invoices and code, approve through Ariba system in a timely manner
◦ Monitor expense reports as requested
◦ Prepare expense reports for SVP, VP
• Facilities
◦ Oversee overall condition of studio and workspaces & perform regular needs analysis for studio condition
◦ Identify opportunities for improvement relating to space/storage ; safety requirement maintenance
◦ Communicate and partner with facilities on all projects; drive to completion
◦ Organize and oversee all departmental moves
• Human Resources
◦ Prepare temporary and full time job requisition forms as requested; submit as directed
◦ Prepare for weekly recruiting meeting and assist with prep and follow up as requested
◦ Responsible for new hire set-up- RRF, Space, Computer/Phone set-up, Training, etc
◦ Partner with hiring managers to insure smooth transition into the work force environment for all new hires through implementation of on boarding process; co-pilot assignment
◦ Participate in the annual performance appraisal preparation as directed by SVP
• General Administrative Duties
◦ Manage SVP’s calendar
◦ Handle incoming calls and responding/redirecting as necessary
◦ Travel arrangements for SVP, VP
◦ Help desk support as needed
◦ Meeting prep as requested- print documents, agenda, etc; check on timing/location
◦ Track attendance for all SVP direct reports
◦ Prepare spreadsheets, memos, presentations as requested
Requirements:
• Bachelor Degree with 5 years or more of relevant experience
• Need to be highly detail oriented, thorough, accurate and dedicated to seeing a project through on time
• Ability to multi-task and problem solve efficiently
• Excellent written and oral communication skills
• Self-motivated, independent worker who enjoys a fast paced dynamic work environment
• Experience with Outlook, Excel, Powerpoint and Word required
